We are in the market for an experienced Senior Proposal Coordinator with advanced writing, organizational, coordination, and leadership skills to manage and deliver high-quality, client-focused proposals and RFQ/RFP ("RFx") responses. This role ensures alignment with strategic objectives and branding standards while mentoring and supporting Proposal Coordinators, maintaining consistency, quality, and adherence to deadlines. This role is hybrid remote and can be based out of either the Seattle, WA office or the Boulder, CO office. The Senior Proposal Coordinator is expected to be in the office at least two days per week. The Senior Proposal Coordinator will bring energy and leadership to a high-performing, supportive team of marketing, business development staff, and graphic designers responsible for securing a variety of design projects nationwide. This individual will collaborate with project managers, architects, engineers, contractors, and leadership to craft compelling narratives, tailored responses, and drive improvements to the proposal process. Duties & Responsibilities

Lead and coordinate RFx responses from initial lead tracking through deliverable development and production. Manage proposal schedules, responsibility matrices, and revision processes to ensure timely, high-quality deliverables. Mentor and support junior Proposal Coordinators, providing training on best practices, resources, and templates. Develop and maintain high-quality proposal templates, graphics, and tools to improve efficiency and consistency. Track and report proposal outcomes, identifying trends and opportunities for continuous improvement. Schedule and facilitate post-submission debriefs with project teams and clients; document insights to inform future strategies. Maintain accuracy of project and proposal data in Deltek Vantagepoint (or similar system). Proofread and edit project team and marketing documents, ensuring consistency with firm standards. Update and maintain marketing collateral, resumes, project profiles, and photography assets in internal systems. Support firmwide marketing initiatives and special projects outside of proposals as needed. Required Experience

4+ years of marketing/proposal experience in the A/E/C industry. Strong writing, editing, and proofreading skills, including technical writing experience. Advanced proficiency with Adobe Creative Suite (InDesign, Photoshop, Illustrator) and Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook, OneDrive). Experience with InDesign templates and paragraph styles. Ability to manage multiple deadlines and coordinate with geographically diverse teams across multiple offices. Excellent organizational skills, attention to detail, and collaborative mindset. Preferred Experience

Bachelor’s degree in Marketing, Communications, Journalism, English, or related field (equivalent experience may be considered). Experience with project management software (e.g., Asana, Trello). Familiarity with ERP/CRM systems such as Deltek Vantagepoint. Supervisory experience mentoring or managing proposal staff. The Package

The anticipated salary range for this role is $80,000–$95,000 (adjustable based on market and internal equity).
