Overview The Senior Project Manager for Construction Administration is accountable for leading all aspects of a project once the construction phase starts. This person will work as part of the project team and interact closely with the owner, designers, contractors, subcontractors, and other trades on projects in mission critical environments. This role requires a background or experience in MEP design and readiness to transition to leading construction administration teams, project coordination, and management. Candidates with existing design and construction administration experience are also encouraged to apply. The role will coordinate with the Senior Project Manager for Design and be involved in the design phase to understand project specifics, client standards, codes, and decisions made during design. The Senior Project Manager for Construction Administration will act as the first reviewer of most submittals, RFIs, and issues on site, with support as needed from a construction administrator, design engineers, and the design PM. The role continues through construction administration and closeout, including reviewing RFIs and submittals, change proposals, site visits, client meetings, and coordination with internal and external team members.
The Senior Project Manager for Construction Administration will be self-directed in day-to-day work and operate in line with organizational and client goals/values and departmental objectives.
Responsibilities (Essential Functions)
Manage all elements of routine and complex projects (50%)
Contribute to the design phase of projects based on experience and lessons learned during construction.
Drive project construction administration from completion of the design through construction and closeout phases.
Conduct site visits during construction including existing condition surveys and punchlists.
Coordinate and issue field reports (photos and documentation) and identify deficiencies or items requiring resolution.
Evaluate and review subcontractor proposals and provide recommendations on contract award.
Coordinate and liaise between internal design trades, external team members, and contractors on technical and project execution matters.
Attend project meetings, including weekly design and OAC meetings, providing updates on documentation, answering questions, and managing open items.
Manage the construction administration phase, including RFI responses, submittal and change order reviews, and implementation of contractor redlines/record drawings.
Coordinate issuance of bulletins and ASIs with the design team.
Provide risk management and conflict resolution.
Oversee / perform QA / QC reviews of plans and specifications to ensure alignment with project scope and guidelines.
Coordinate resource scheduling, ensuring alignment with project goals.
Manage Stakeholder Relations (20%)
Lead preparation of change proposals, presentations and the overall marketing efforts of the firm.
Lead the promotion of the firm, service, and expertise to existing or potential clients.
Maintain client relationships to ensure ongoing positive relationships and identify new projects.
Be the primary contact for clients and build effective, long-term client relationships.
Ensure client satisfaction through active communication.
Administrative (20%)
Review and distribute site visit reports, meeting notes, punchlists, etc.
Accountable for project contract administration timeliness and accuracy.
May manage personal and project hours using company tools.
Create / complete departmental reports.
Monitor and Coordinate Project Financials (10%)
May prepare, forecast and monitor project budgets, profitability, margins, bill rates and utilization and maintain overall accountability for profitability of the project’s construction administration phase.
Communicate with the client and design project manager when additional fees / change orders are required.
Identify potential project risks and develop/implement strategies to minimize impact and control deviations from estimated costs and project deadlines during the construction administration phase.
May be accountable for development of cost schedules / schedules of value for client progress billing and review / approval of monthly billings.
Completion of Assigned Tasks and Deliverables on Time and on Budget
Performs Other Related Duties as Assigned

Knowledge of MEP / FA / FP trades and the general requirements for each.
Knowledge of industry trends, project management and construction procedures and best practices.
Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, production methods and coordination of people and resources.
Knowledge of materials, methods and the tools involved in the construction of mission critical, commercial buildings or other structures.
Knowledge of the importance of the Method of Procedure (MOP) process and work notifications.
Skilled at using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams), with strong organizational skills for file management.
Skilled at using construction management software such as Procore.
Skilled in completing assignments accurately and with attention to detail.
Skilled at managing personnel and material resources.
Organizational skills, with the ability to manage multiple tasks simultaneously.
Ability to effectively plan and delegate the work of others.
Ability to follow company and site safety requirements.
Ability to analyze and prepare documents, reports and correspondence.
Ability to communicate effectively in both oral and written form (technical and non-technical information).
Ability to communicate effectively directly with clients and serve as primary point of client contact.
Ability to work successfully as a team member and independently with moderate supervision.
Ability to work independently and collaboratively with onsite and remote team members.
Ability to analyze complex information and develop plans to address identified issues.
Experience with AutoCAD and/or Revit is a plus.

Travel to project sites weekly up to 40% per month.

Education / Experience
B.S. degree in mechanical, electrical, architectural, structural, industrial or civil engineering or construction management
Minimum of eight years of experience in related field
Minimum of three years onsite / field experience
