The Operations Coordinator plays a critical role in supporting Therma by facilitating the job request process and customer setup and maintenance. This position opens job numbers for Project Managers and staff using Job Estimate Forms and ensures accurate and efficient job setup. The coordinator also assesses and sets up new customers and maintains existing records, collaborating with internal teams to maintain job tracking, compliance, and reporting. Responsibilities
Process job requests by reviewing and validating Job Estimate Forms submitted by Project Managers and other stakeholders. Assign job numbers and ensure accurate data entry into internal management systems. Partner closely with multiple teams to maintain accurate job records and ensure compliance with company policies. Generate and distribute job-related reports as needed. Utilize Office 365 and Excel to manage job data, track updates, and analyze information. Communicate with internal stakeholders regarding job setup status, discrepancies, and required updates. Assist in process improvement initiatives related to job setup and tracking. Review customer credit applications and assess following the standard operating procedures. Maintain confidentiality and accuracy of job-related and customer financial and operational information. Support Project Group Management and Executives as needed. Qualifications & Requirements
Minimum 3 years of experience in job processing, construction, finance, or relevant field preferred. Bachelor's degree with a concentration in Accounting or Finance preferred. Proficiency in Office 365, including advanced Excel (pivot tables, VLOOKUP, data analysis), Outlook, Word, and Teams. Strong attention to detail with excellent data entry and organizational skills. Ability to work independently while effectively collaborating with teams. Strong communication skills with the ability to engage with multiple departments. Prior experience in construction, engineering, or mechanical contracting industries is a plus. Preferred Skills
Experience working with financial/job tracking systems. Knowledge of job costing and project management workflows. Ability to handle multiple requests and deadlines in a fast-paced environment.
