Portfolio Administrator - Evergreen / Future Opportunities (Orange County)

About the Role
Rexford Industrial Realty, Inc. is seeking potential candidates for a Portfolio Administrator position to support Portfolio Managers in overseeing a large portfolio of industrial properties in the Orange County area. This role reports to the Portfolio Manager or Senior Portfolio Manager and contributes to day-to-day operations and strategic management of real estate assets. This posting is for potential future opportunities in our Costa Mesa, CA office and to collect applications for consideration when openings arise. Work Arrangement:
This role follows a hybrid work model, offering a balanced blend of remote and in-office work. Responsibilities
Process daily invoices, tenant bill-backs, preparation of check requests, and vendor set-up forms. Support the manager in pre-posting of the monthly rent roll and distribution of monthly rent statements. Prepare tenant notifications of property activities and lease compliance. Maintain properties in Yardi Elevate System for service calls and ensure completion. Support the transition process of new acquisitions and dispositions. Communicate with tenants and vendors on maintenance issues. Assist tenants with an online Tenant portal for rent payments and work order requests. Prepare job costs and work orders and obtain proper approvals, including Yardi input. Prepare master service contracts and related agreements with proper approvals and tracking within Rexford's systems. Assist with tenant move-ins and move-outs, including checklist review. Assist the Manager and Director of Property Management with annual budgets. Help collect and update tenant and vendor insurance certificates. Maintain property certification tracking, fire life safety, HVAC inventory spreadsheets, and related documentation. Support the team in generating Yardi reports and distributing monthly rent rolls, weekly capital, and space preparation reports. Maintain lease and contract files and other files in the corporate shared drive. Perform other activities as directed by Managers and the Director of Property Management to maintain high operational standards. About You (Qualifications)
Bachelor’s Degree preferred or equivalent commercial property management experience. 3+ years of experience delivering excellent internal and external customer service. 3+ years of experience learning and using multiple software systems quickly.
