Orchestra Operations Coordinator - KCOHO WNO at The John F. Kennedy Center for the Performing Arts. Position : Orchestra Operations Coordinator for the Kennedy Center Opera House Orchestra / Washington National Opera Orchestra. This role supports the Director of Orchestra Personnel & Operations, the Orchestra Personnel Manager, and the Music Director. The position requires the ability to meet deadlines in a rapid-paced environment, maintain composure under pressure, foster excellent working relationships, handle confidential matters with care, and work significant evening and weekend hours.
Key Responsibilities
Provide Administrative Support to the Orchestra Management Team, including creating and maintaining season documents (playbill rosters, security and stage door lists, dress rehearsal pass lists, and related documents).
Administer the tenure review process for probationary musicians under guidance of the Director of Orchestra Personnel and Operations.
Attend meetings between orchestra committees, musicians, and management; take minutes and prepare reports.
Assist with revisions, formatting, and printing of contracts (orchestra collective bargaining agreements, side letters) and distribute orchestra-wide communications (staff emails, ticket offers, construction updates, payroll information, etc.).
Manage parking vouchers; maintain KCOHO/WNO bulletin boards; distribute, document, and collect KC Guest Artists IDs.
Use ArtsVision to reserve practice rehearsal space; monitor inventory of orchestra lounge supplies and storage.
Submit Payment Requests to Finance; coordinate shipping/receiving of packages, purchases, and instruments; oversee yearly harp and timpani maintenance and percussion repairs.
Distribute paychecks weekly and distribute Post-Notices.
Work Coverage and Collaboration
Collaborate with the Orchestra Management Team to provide show coverage during rehearsals and performances; monitor times, breaks, attendance, and AFM agreement compliance.
Report issues to the Director of Orchestra Personnel and Operations; provide service reports to management.
Chamber Sized Events
Lead administration for chamber-sized events (e.g., Millennium Stage, Reach Concerts, donor events, community engagements); coordinate with KC Marketing, Programming, and Production.
Prepare performance reports and payroll documents for these performances.
Auditions
Act as team lead to manage administrative aspects of auditions when vacancies occur.
Advertise vacancies, process resumes, maintain candidate database, coordinate audition committees and schedules, assemble candidate packets, and respond to candidates.
Ensure smooth operations on audition days, including meal coordination for crew and staff.
Historical Documentation
Update instrumentation databases, vendor information, percussion inventory, personnel files, and notes; annually refresh tenured/substitute musician lists; maintain confidentiality; update locker and combination information.
Music Director Support
Serve as on-site support for the Music Director; schedule and coordinate meetings; assist in obtaining comments for tenure reviews.
Other duties as assigned.
Key Qualifications
Up to 2 years of administrative experience; knowledge of opera, ballet, musical theater, and symphonic repertoire. Prior experience in artistic operations is highly desirable.
Experience working in a union environment is preferred.
Local to the DMV area or willing to relocate; relocation assistance is not provided.
Willing to work onsite.
Additional Information
Varies from sedentary office work to frequent walking within a large building; ability to use stairs and maneuver around equipment and instruments.
Must be able to work flexible hours, including evenings, weekends, and holidays as required by the orchestra schedule.
Some elective travel may be offered; environment may include high levels of sound.
