Summary

This role is responsible for the management of meetings and events for assigned functions. The position serves as an essential member of the Meetings & Events group and acts as a key partner to assigned functional areas. Responsibilities include proactively assessing business needs, forecasting meeting requirements, providing budget guidance, ensuring compliance, and offering consultative feedback on meeting functions. Collaborate with stakeholders to develop quarterly and annual budget plans aligned with meeting objectives and financial strategies. The role oversees 3rd party vendors supporting related meetings and ensures all HCP events/engagements comply with policies including Aggregate Spend. This position is accountable for the accuracy and timeliness of HCP Aggregate Spend data and reports, including 100% audit of all HCP engagements. The role entails full planning and management of meetings. Responsibilities

Stakeholder Engagement and Customer Relations: develop and maintain relationships with aligned stakeholders/business owners; align ME team with business objectives and evolving requirements. Support stakeholder priorities and initiatives by collaborating to develop annual business plans for meetings, including budgeting and forecasting. Facilitate discussions with stakeholders to validate or adjust tactical plans using forecasting data. Facilitate annual cross-functional feedback sessions and implement enhancements based on feedback; share market trends insights with stakeholders. Re-educate and identify training opportunities for stakeholders as required. Vendor Management: oversee 3rd party Meeting Planners and related activities; monitor adherence to compliance and DS ME strategies. Manage activities for hotels, AV/Production, and ground transportation; gather meeting information including budgets; manage site selection, contracting, and negotiation; oversee planning timelines and onsite logistics; ensure procedures and costs align with approved budgets. Conduct weekly touchpoints with 3rd party planners; identify training for new vendor hires; perform final reconciliation, budget reporting, and surveys; ensure data accuracy in meeting management software. Monitor compliance: ensure meetings follow procedures and policies, including HCP compliance; audit data accuracy and complete audit folders 100%; educate stakeholders on ME processes as needed. Qualifications

Education Qualifications (from an Accredited College or University): Bachelor’s Degree in Business, Marketing or commensurate experience preferred Experience Qualifications: 4+ years in the “Meeting and Events Planning” or “Meeting Management” profession 1+ years related work in Pharma industry preferred People management experience preferred Licenses and Certifications: Certified Meeting Professional (CMP) preferred Travel: Ability to travel up to 30% Salary

$90,480.00 - $135,720.00 Additional
