Overview
Program Assistant-503680 with Security Clearance. The Program Assistant will be responsible for efficient office administrative operations and act as a liaison between offices. Responsibilities include coordinating data calls, record keeping/reporting, travel schedules, conference room scheduling, and handling day-to-day office operations. Responsibilities
Provide administrative and management support to senior management; review, edit, draft, and prepare executive documentation, letters, memorandums, interoffice communications, confidential reports and other correspondence, as needed. Review internal and external communications for consistency and distribute approved documentation to appropriate personnel, as directed. Prepare and publish meeting agendas, arrange travel, set up internal/external meetings/appointments, track staff time and attendance and reporting, and manage and secure classified/SBU documents. Process incoming/outgoing personnel checklists, arrange conference room scheduling, and perform office supply management duties. Coordinate special event logistics, escort visitors, process building access for visitors, and handle incoming/outgoing phone calls. Process and track personnel leave requests; monitor and track motor vehicle fleet usage, mileage, and expenses. Coordinate and respond to data calls; assist bureau staff on special projects. Collect, compile, and coordinate processing of Weekly Activity Reports (WARs). Assist with program management activities within the bureau directorate. Coordinate travel by preparing authorizations and making reservations for Government employees using E2 Travel Solutions, as required. Record, draft, and prepare meeting minutes as required; maintain and update multiple Outlook calendars and schedules. Track annual employee performance evaluation reports and documents. Set up the classified/unclassified Digital Video Conference (DVC) system and coordinate time zones with regional offices or missions abroad. Maintain proficiency in MS Office Suite, Visio, Outlook, and Project; maintain expertise in managing SharePoint databases. Track assigned tasks, monitor progress, and overdue action items; prepare analytical reports and draft administrative and policy documentation. Create and update PowerPoint presentations for ongoing projects and briefings; maintain spreadsheet reports for data analysis for senior management. Draft and process electronic country clearance (eCC) requests for travelers (contract and government personnel); assist in preparing policy documentation and disseminating to Front Office personnel. Organize Shared drives/document repository and update information on SharePoint sites; perform Front Office liaison activities and facilitate cross-organizational communication. Review and analyze program history to identify issues or trends relevant to future program direction; assist in identifying, developing, and tracking internal and customer-focused policies and procedures for cross-cutting issues. Prepare a variety of analytical reports, memoranda, and materials on administrative and policy issues; produce reports, charts, and presentation materials from software programs. Qualifications
Education and/or Experience: High school diploma and a minimum of three (3) years of office experience supporting high-level officials, or four (4) years of directly related administrative and technical experience. Active Top-Secret Clearance Required. Knowledge, skills, and abilities: Experience with EZ and E2 Travel Systems; knowledge of office management systems and procedures; excellent time management, multi-tasking, and prioritization in a fast-paced office; strong customer service, attention to detail, problem-solving, and written/verbal communication skills; strong organizational and planning skills; proficiency in MS Office, Teams, Zoom, and WebEx.
