Working closely with project managers, field staff, and leadership, the Office Manager ensures compliance, organization, and timely reporting in a fast-paced construction environment. Position Title Construction Operations Manager Department Construction (GCDC) Reports To Vice President – Construction Location On-site (Chicago office) FLSA Status Exempt Salary Range $100,000-$115,000 Job Summary The Construction Office Manager provides administrative and operational support to Evergreen’s construction division, ensuring the seamless functioning of office operations to support construction projects. This role serves as the central hub for internal communication, document management, vendor coordination, and financial tracking. Working closely with project managers, field staff, and leadership, the Office Manager ensures compliance, organization, and timely reporting in a fast-paced construction environment. Key Responsibilities

Office Operations & Administration

Manage day-to-day office tasks including correspondence, supply ordering, scheduling, and communication support for the construction team. Act as point of contact between corporate office, project sites, vendors, and clients. Maintain confidentiality and professionalism in all office interactions and communications.

Project Support and Coordination

Assist project managers and construction leadership with document preparation, meeting coordination, and schedule tracking. Support permit applications, inspections, and jurisdictional submissions. Help coordinate team onboarding for new hires in the construction division.

Document & Compliance Management

Maintain organized digital and physical files for all active and completed projects. Track and ensure that all licenses, permits, insurance certificates, and compliance documents are current and properly filed. Collect, process, and file lien waivers, draw requests, and other construction-related compliance materials.

Accounting & Financial Support

Track project expenses, assist with invoice coding and payment coordination. Coordinate with corporate accounting on payroll, job cost reporting, and contractor payments. Prepare draw package documents and assist with monthly construction billing and reporting cycles.

Vendor & Subcontractor Coordination

Maintain accurate contact records and agreements for vendors and subcontractors. Ensure timely collection of vendor documentation, including W-9s, insurance COIs, and signed contracts. Track contract dates, billing schedules, and key milestones.

Reporting & Data Tracking

Prepare weekly and monthly reports on construction office activity, project statuses, and administrative tasks. Track and maintain contract logs, bid logs, and vendor compliance documents. Support internal audit requests by ensuring documentation is accurate and readily accessible.

Education & Experience

High school diploma or equivalent required; associate or bachelor's degree in business, construction management, or related field preferred. Minimum of 3 years of experience in office management, with at least 1 year in a construction, real estate, or property development environment. Licenses & Certifications

None required, but familiarity with Illinois construction permitting and compliance regulations is a plus. Technical & Physical Skills

Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams) required. Experience with construction project management tools and/or RealPage preferred. Ability to lift up to 20 lbs occasionally and navigate construction site documentation protocols. Strong comfort working in both structured digital filing systems and physical document storage. Technical Proficiency – Leverages strong working knowledge of Microsoft Excel, Word, and project management platforms to support financial tracking, vendor coordination, and contract administration. Professional Integrity – Handles sensitive documents, billing processes, and vendor contracts with discretion, accountability, and alignment with Evergreen's values. Problem-Solving – Identifies administrative, logistical, and documentation issues proactively and works independently to resolve or escalate when needed. Work Environment & Physical Demands

This is an in-office position with limited flexibility. Work from home is permitted on Tuesdays only. On Fridays, the schedule is 8:30 AM to 12:30 PM, with the expectation that weekly hours are completed in full. No additional schedule flexibility is available. The role is primarily sedentary and performed in a standard office setting, with occasional light lifting of files or supplies. Reasonable accommodations may be made as needed.
