Overview

Position: Senior Benefits Specialist (Remote, US & Canada). This is a safety-sensitive role reporting to the Benefits Manager within the Benefits Department and HR Operations team. The Senior Benefits Specialist is responsible for ensuring the accuracy, compliance, and operational efficiency of benefits-related processes, including billing, reconciliation, and compliance, as well as administration of leave programs. The role supports vendor management, employee communications, wellness initiatives, and continuous process improvement. Essential Job Functions (Duties and Responsibilities)

Benefits Operations & Compliance: Lead monthly and quarterly benefits billing processes for U.S. and Canadian plans; reconcile invoices against enrollment data; partner with Finance and Payroll to ensure accurate costing, recording, and deductions; generate and distribute benefits reports; support compliance with ERISA, IRS, HIPAA, COBRA, CRA, and provincial regulations; assist with audits and regulatory filings. Leave of Absence and Accommodations Administration: Administer leave programs (FMLA, ADA, STD, workers’ compensation, military, personal leaves); track eligibility, balances, certifications, and documentation; ensure timely notifications and return-to-work compliance; serve as primary contact for employees, managers, and HR Business Partners regarding leaves and accommodations. Employee & Vendor Support: Respond to inquiries related to benefits and leave programs; act as liaison among employees, HR, vendors, and stakeholders; assist in vendor relationship management, including claims resolution and performance reviews. Communications, Training & Engagement: Support benefits and wellness communications; contribute to enrollment planning, campaigns, and employee education sessions; assist in developing training materials and process documentation for employees, managers, and HR stakeholders. Process Improvement & Special Projects: Document and maintain SOPs for benefits and leave processes; partner on special projects, vendor reviews, audits, and new program implementations; identify opportunities to improve efficiency and employee experience in benefits and leave administration. Qualifications

Minimum of 5+ years of experience in benefits administration, with a strong focus on U.S. programs (Canadian experience strongly preferred). Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred. Strong knowledge of FMLA, ADA, HIPAA, COBRA, and related federal/state laws; familiarity with ERISA, IRS, CRA, and provincial regulations preferred. Experience managing multi-state leave programs and coordinating with vendors, payroll, and HR partners. Experience with benefits billing, reconciliation, and HRIS platforms (e.g., UKG, Workday) for processing, data audits, and reporting. Advanced Excel proficiency (v-lookup, pivot tables, if/then formulas). Strong analytical, problem-solving, and process-improvement skills; highly organized with attention to detail; ability to prioritize in a fast-paced environment. Excellent written and verbal communication with cross-functional and vendor collaboration skills; ability to handle confidential information with discretion. Ability to work remotely and independently, with reliable access to a suitable home or remote work environment. Preferred

CEBS, FMLA/Leave Management certification, or SHRM/PHR credentials. Experience with Canadian benefits programs and provincial regulations. Experience reconciling vendor feeds and resolving escalated claim issues. Physical & Mental Demands

Work in an office/industrial environment; seated/standing for extended periods as needed; manual dexterity for data entry. Ability to bend, pull, stoop, reach; lift up to 25 lbs.; maintain cognitive and mental capacity to perform essential functions. Effective communication skills, with vision for reading documents and screens; hearing for in-person and phone communication.
