Job Description Summary
We are seeking a proactive, detail-oriented, and highly organized Broker Coordinator to join our team. This individual will provide direct administrative and operational support to a group of commercial real estate brokers. The ideal candidate will be a self-starter with exceptional communication skills, the ability to multitask in a fast-paced environment, and a commitment to delivering high-quality work. This role is essential in maintaining smooth day-to-day operations and enhancing broker productivity and client service.
Job Description
Broker Support:
Provide high-level support to multiple brokers, including calendar management, meeting coordination, and preparation of client materials
Assist with listing and transaction management including the preparation of proposals, agreements, leases, and closing documents
Coordinate with internal departments and external vendors to support ongoing deals and marketing efforts
Administrative Duties:
Prepare and process expense reports and reimbursements in a timely and accurate manner
Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries
Maintain organized filing systems (electronic and physical) for contracts, property data, and client correspondence
Manage office supplies, equipment, and administrative support tools as needed
Marketing & Reporting:
Create and update property marketing materials, presentations, and flyers using branded templates
Support brokers with CRM updates and client database management
Assist in the coordination of property tours and broker open houses
Generate periodic activity reports and market research summaries
Client Interaction:
Maybe asked to participate as a liaison between brokers and clients to facilitate communication and service delivery
Ensure all client-facing documents and presentations are professional, accurate, and timely
Handle sensitive client and deal information with discretion and confidentiality
Project & Task Coordination:
Assist with special projects and initiatives as directed by brokers or management
Track and manage project deadlines, action items, and deliverables across multiple stakeholders
Provide back-up support for other coordinators during time off or peak periods

The company will not pay less than minimum wage for this role.
The compensation for the position is: $34.13 - $34.134615
