Receptionist and Mail service Associate New York NY (onsite) 8:00 AM- 5:00 PM
Contract Duration: 10/20/2025 – 1/24/2026 (Temp to Perm)
Overview This role provides exceptional front-desk service by greeting and assisting all visitors, managing incoming calls, and supporting mailroom and administrative operations. The position operates in a professional office environment and involves daily interaction with staff, clients, and vendors.
Responsibilities
Greet and assist the public and visitors
Schedule and manage meeting rooms
Answer and transfer incoming calls from across the U.S.
Update automated phone messaging system daily
Maintain company phone lists, speed dial lists, Brag Board, and company calendar
Distribute name badges to visitors and temporary employees
Support mail services, including use of postage machine
Perform light administrative duties and PC support as needed
Assist with tasks such as envelope labeling and compiling manuals
Manage promotional item inventory and distribution
Participate in company and community service events
Support administration and other teams as needed
Requirements
High school diploma or equivalent
Minimum 1 year of receptionist or switchboard experience
Strong customer service and communication skills
Professional appearance and demeanor
Proficient in Microsoft Word and Excel
Organized, flexible, and able to work well in a team environment
Comfortable in an office setting; minimal physical effort required (lifting under 10 lbs)
