Overview
2+ years of real estate/mortgage/escrow experience and an active real estate license within 30 days of hire will be required for the following position. MAIN OBJECTIVE: The Director of Property Management will essentially be responsible for the property management division of Lux Management Group at Keller Williams Realty Phoenix. The person in this position is a self-starter who wants to be given an opportunity to grow and run a division, reports directly to the Owner of the company, and enjoys building and putting the pieces in place. This person will have exceptional customer service skills, be confident when speaking, be self-starting, and take control once they know what they are doing. Quick, decisive decision-making is valued and waiting on others for answers is not preferred. This leadership role will oversee various vendors and will eventually grow a team to leverage aspects of the division (processing repairs, leasing/property showings). RESPONSIBILITIES
Leasing Inform and educate tenants on lease terms and responsibilities Assist with administering tenant occupancy, including introduction letters regarding emergency contacts, insurance requirements, rent collection procedures and maintenance request procedures Move-in/move-out inspections/walk-throughs Coordinate repairs and quick turns with cleaning, handyman, and carpet cleaning as needed Post vacancies 60 days prior to the date available Lease vacancies within 30 days max of former tenant move-out Paying co-broke commissions Maintenance Respond to tenant requests/problems promptly and generate work orders for vendors or maintenance staff Determine validity of issues and confirm work is completed Follow-up with tenants to ensure satisfactory resolution Conduct periodic property inspections to ensure lease compliance and upkeep Manage paying invoices and closing out tasks Work with home warranties and communicate with owners and tenants Collecting rent Charge and/or remove late fees as applicable Ensure rent is paid by the 5th of each month Issuance of 5-day notices on the 6th and proceed with eviction if rent is not paid by the 20th Processing HOA/City violations Charge tenant fees for notices with case-by-case waivers Notify tenant of issues, confirm awareness, and verify resolution Increasing the number of managed units Foster referrals from other agents, referral sites, PPC Database Management Build and maintain the team’s database of clients, vendors and business associates Maintain property and lease files per company policy Coordinate data entry into the software and establish reporting for maintenance requests, preventative maintenance, vendors, insurance certificates, and date tracking Monitor key dates and reporting within the management system (AppFolio) Establish Property Management Operations Manual, Preventative Maintenance Policies and Procedures Financial Systems Management Review financial statements for accuracy Review tenant and owner statements; ensure balances and disbursements are correct Disbursements on or before the 15th and again on the 1st of the month for the prior month Invoices paid timely; explore cost reduction opportunities Client/Vendor Relations Deliver legendary customer service to clients, vendors and business associates Set a standard for timely service and hold the team accountable Provide high-level service to tenants and owners; record detailed notes in PM software Management Responsibilities Hiring, training, consulting and accountability of all Property Management team members Be a team player and flexible with additional duties as they arise Overall performance and development of the property management division REQUIRED SKILLS/EXPERIENCE
Ability to handle a high-stress work environment Strong written and verbal communication skills Excellent organizational and project management abilities Ability to manage a large workload with multiple deadlines Thrives in a dynamic, fast-changing, growth environment Minimum of 2 years Real Estate/Property Management experience Arizona Real Estate license (attainable within 30 days of hire) Well-organized, service-minded with good interpersonal skills Disciplined about time Understand and adhere to local, state and federal real estate laws Energetic, results-driven, with a positive can-do attitude Must be available on weekends Strong English skills required; Spanish not required but encouraged TOOLS AND SYSTEMS UTILIZED
