Position Title : Development Operations Coordinator Department : Development Reports to : Director of Individual Giving Position Status : Full time, Salaried Exempt, At Will The Development Operations Coordinator role is responsible for processing gifts, producing receipts and acknowledgements, managing clean and accurate donor data in the ICA’s CRM system (Tessitura), generating reports, facilitating membership benefit fulfillment, coordinating workflow across Development, Finance, and General Membership, and supporting the ICA Development and overall fundraising programs and strategy. This role is responsible for behind-the-scenes processes that translate to a meaningful and impactful experience for donors. The position also staffs important institution-wide activities and special events. Working at the ICA

All ICA employees are required to reside in Massachusetts and within commuting distance from our Seaport location as of their first day of work. The ICA offers a hybrid work week, which averages three days a week onsite for employees eligible to work remotely (subject to change, and at managers’ discretion). Responsibilities

Input all gifts related to annual, capital, and endowment giving campaigns into the Tessitura CRM, including but not limited to gift types of cash, checks, credit cards, wires, stocks, pledges, matching gifts, gift-in-kinds, gifts of art, and planned gifts. Ensure all gifts are recorded timely, accurately, and in accordance with contributed revenue recognition rules. Generate and send gift receipts and facilitate digital membership benefit fulfillment to donors. Generate and send pledge reminders, coordinating with gift officers on customization. Ensure all gift documentation is properly scanned, filed, and submitted to the Finance department according to processing standards. Safeguard gift and payment information in accordance with the ICA’s polices and applicable privacy and data security laws. Collaborate with Finance to ensure donations are recorded accurately and to reconcile development records with the general ledger. Adjust contributions as directed. Support the annual financial audit through compiling gift schedules and documentation. Prepare lists and reports that support Development department procedures and activities. Create and update donor records within Tessitura as needed. Maintain the integrity and confidentiality of financial data, correspondence, and a wide variety of account-related data such as audits, deduplication and standardization. Assist with data preparation for prospect research requests, stewardship materials, and donor presentations. Work in collaboration with other ICA Development department coordinators. Provide support at special events, requiring occasional evening and weekend work availability. Other duties as assigned. Qualifications

1-2 years of professional experience in an office setting. Experience with CRMs, databases, and data processing. Familiarity with Tessitura or other fundraising CRM is ideal. Proficiency with Microsoft Office suite. Strong attention to detail and organizational skills. Analytical mindset and commitment to efficiency and process improvement. Excellent written and verbal communication skills, including strong follow up. Ability to work collaboratively and communicate with cross-functional teams across the ICA, including Finance and General Membership. Strong accountability and transparency in work style. Expressed interest in the arts, development, and/or non-profit field. Physical Requirements

Prolonged periods of remaining stationary such as when working on a computer, and speaking on the phone. Ability to listen and talk for extended periods in person, over the telephone and computer Possess mobility to work in an office setting and use office equipment, move about throughout the museum, and travel to offsite meetings when necessary. Starting Compensation :

$48,000.00 Annual Starting compensation is based on meeting minimum qualifications. Each ICA position has a job grade based on the position’s evaluated job responsibilities, required education and experience, needed skills to perform the job, and professional knowledge. The position’s grade and respective compensation range is determined by the position’s overall responsibilities, including decision making, supervisory/management requirements, resource management and budgeting duties. Compensation is ultimately determined by the scope of the position and responsibilities, the candidate’s relevant experience, and internal equity, with starting salaries typically falling in the lower half of the compensation range.
