Coordinates and directs administrative support for the office. May support management with advanced administrative support. Performs a variety of administrative/supervisory duties, such as providing direct support to a Sr. Level Executive, assigning and managing work of other clerical employees, interpreting policies and making day to day business decisions, and creating and maintaining reports to ensure the smooth daily operations of the office. Ability to handle sensitive information concerning the practice plan, Sr. Level Executives, the Board of Trustees, etc. Requires a thorough working knowledge of and adherence to company policies and practices. Promote and foster a team-based work environment, maintain a positive and professional disposition, demonstrate flexible and efficient time management with ability to prioritize workload, work well under pressure and handle stress; and other duties as assigned. Essential Functions

Oversees implementation and administration of policies and procedures. Assures quality control and makes recommendations for improvement of work methods and technology to increase productivity. Identifies and implements efficiency improvements by analyzing, streamlining and automating administrative processes. Assists in developing budget and production goals. Manages expense accounts and budgets and provides a high level of assistance in managing and preparing expense accounts and budgets by utilizing appropriate software. Authorizes operations and supplies expenditures. Prepares presentations, reports, spreadsheets, and other business-related communications/correspondence independently. Proofreads for grammatical, typographical and basic content errors to insure all materials need minimal revision. Plans and participates in special projects, ongoing analyses, investigations, and initiatives that have high priority for executive-level management. Supports committee and task force communication efforts. Contributes to issues management/crisis communication and business recover processes. Manages Sr. Level Executive’s schedule, maintaining a complex schedule of events, identifying potential conflicts, and working collaboratively with others (inside and outside of the area/company) to resolve them. Responsible for the administrative support functions for the department/office/clinic. This includes staff supervision, workflow, and performance management of assigned staff to include policy interpretation. Explains and applies work rules, standards, and guidelines. Provides input in establishing work standards, guidelines, and procedures. Oversees daily operations to insure efficient and effective operation of areas of responsibility. Supervises and coordinates activities of workers who perform office support duties which support the development and implementation of policies, procedures, standards, training, and methods for managing a specialized system or program; operates within budget. Monitors work of staff, closely and ongoing, to assess and problem-solve. Reviews performance on a daily basis and provides suggestions and gives instructions for improving work. Helps employees establish deadlines for work assignment and completion. Modifies work plans, methods and procedures, determines work priorities, and develops work schedules to provide adequate staff coverage. Provides work instruction and assists employees with difficult and/or unusual assignments; encourages innovation. Assigns and distributes work, reviews work for accuracy and completeness and returns assignments with recommendations for proper completion. Education and/or Experience

Bachelor's degree from four-year college or university Five years related experience and/or training; or equivalent combination of education and experience Accurate typing and data entry skills Excellent interpersonal skills Working knowledge of software used by department Advanced proficiency in MS Office (Word/Excel/PowerPoint/Outlook) is a must. Working knowledge of internet research tools Must be self-motivated, self-started, able to make decisions independently as well as work effectively in a team environment The referenced base salary range represents the low and high end of University of Maryland’s Faculty Physician’s Inc. salary range for this position. Some candidates will not be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, internal equity, responsibility factor and span of control, education/training and other qualifications.
