Position Purpose

The Police Report Representative I (PRR I) is an entry level role that handles non-emergency routine calls from citizens by writing qualifying police reports over the phone thus reducing the workload, response time, and the number of pending calls for patrol operations. Reviews and assigns offense codes for all offense and incident reports to facilitate accurate data entry and compliance with city, state, and national guidelines. While at the Service desk, the PRR I responds to requests from Dallas Fire, Animal Control, and EBS that do not require an officer. Additionally, this role involves the integration and use of AI tools to develop and refine reports. Essential Functions

1. Receives calls, operates the services desk, and interviews complainants to gather necessary information for accurate offense reports. 2. Communicates information clearly and concisely in both written and verbal formats. 3. Accurately enters detailed information into law enforcement systems. 4. Routes offense information to appropriate departments for prompt response. 5. Prepares and completes various reports and forms related to calls, responses, arrests, warrants, and stolen vehicles. 6. Utilizes AI tools to develop and refine reports, ensuring high accuracy and efficiency. 7. Handles alarm system calls from private and commercial real estate security companies and determines the need for police response based on requests. 8. Assigns offense codes to facilitate accurate filing and crime statistics reporting. 9. Reviews online reports for accuracy and completeness and communicates with citizens as needed. 10. Sorts and distributes reports to relevant police sections. 11. Assigns codes from predetermined coding system to facilitate accurate filing and reference of offense reports. 12. Reviews Dallas Online Reporting System reports for accuracy and completeness and routes back citizens if incomplete or has errors. 13. Sorts and distributes reports to ensure proper distribution to police sections in charge of investigation. 14. Performs data entry in the assignment of pre-established uniform crime reporting code numbers to each report in order to classify offense and incident reports for national crime reporting statistics. 15. Performs additional tasks as required to support the team. Minimum Qualifications

EDUCATION: High school diploma or GED. EXPERIENCE:

Two (2) years of customer service experience. LICENSES AND CERTIFICATIONS:

Must obtain NCIC/TCIC/CJIS certification during the probationary period, with annual renewal. Must be able to obtain Basic Telecommunicator License from Texas Commission on Law Enforcement (TCOLE) within one (1) year of employment. Must obtain Expediter or Service Desk personnel Certification within the probationary period. OTHER REQUIREMENTS:

Availability to work varying shifts

nights, weekends, holidays, and overtime. Must have own telephone or cellular phone. Must pass an intensive background investigation and drug test. Must obtain Texas Commission on Law Enforcement (TCOLE), National Crime Information Center (NCIC) and Texas Crime Information Center (TCIC) certifications during probationary period. No

Exam covers customer service interpersonal skills, public relations skills, spelling, editing, alphabetical/numerical filing, math, punctuation, and grammar. Time Limit:

Strong written and oral communication skills. Basic knowledge of crime intervention practices and principles. Familiarity with the relationship between police and other departments/agencies. Ability to apply policies, procedures, and guidelines to various situations. Knowledge of Dallas area streets and highways. Ability to assist and reassure callers in crisis. Basic interviewing skills. Typing speed of at least 45 words per minute. Understanding of offense reporting guidelines and the Texas Penal Code. Strong decision-making abilities based on department policies and laws. Proficiency with AI tools for report development and data analysis.
