Description

POSITION SUMMARY - this is a full-time, in-office position.

The HIM Specialist is responsible for chart completion and processing releases of information (ROIs), Completes and accurately maintains requests for client information in a timely and efficient manner. Works closely with administrative and clinical staff, including cooperative efforts to develop and sustain quality clinical/medical records. Assumes responsibility for the HIM department when the HIM Manager is unavailable, with the ability to handle issues and inquiries that may arise. This position is also cross trained to provide coverage for other Department positions as needed for absences.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

• Processes subpoenas and requests with affidavits accurately, at the request or in the absence of the department manager.

• Assists the HIM Manager with reviewing agency policies and procedures and makes suggestions for changes.

• Available to answer staff questions related to HIPAA, Confidentiality, ROIs, court documents, etc.

• Processes Release of Information requests received for information to and from other agencies, care providers, attorneys, client requests, etc. per ROI procedure and entering the Disclosure Management form in the EMR.

• Determines records to be released by reviewing requestor information in accordance with HIPAA guidelines and obtaining pertinent client data from various sources, including electronic, off-site, or physical records that match the client request. Scan records into the EMR database.

• Responds to walk-in customers requesting assistance and log information into the EMR as appropriate.

• Responsible for incoming department calls

• Scans various types of documentation received into EMR as needed.

• Assists with ad-hoc document requests throughout the day.

• Handles offsite/archive requests.

• Assists and provides backup and assistance for other HIM positions as needed/assigned.

• Other duties and/or responsibilities as assigned by Manager.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

Education: Associates Degree or higher required

Experience Required: 2-3 years of similar position-related experience. One year of previous medical office experience preferred. One year prior experience working in a behavioral health environment preferred.

Required Knowledge: Basic PC knowledge/skills with experience in Microsoft Office products required; Medical records terminology required; Data entry experience required; HIPAA/Privacy regulations required.

Skills/Abilities: Good attention to detail; the ability to maintain confidentiality; the flexibility to manage a variable workload; the ability to train staff as needed on appropriate procedures; and the ability to interact with the Agency’s customers in a professional and courteous manner.
