Independent boutique Registered Investment Advisor (~$1B AUM) firm providing investment advice seeks a Portfolio Administrator to support operations. Typical clientele includes HNW individuals and families/multi-generational accounts seeking an investment advisor dedicated to a long-term investment philosophy. The ideal candidate will provide critical administrative, client service, and operational support to ensure exceptional, individualized service to clients, reporting to the Head of Operations.

Responsibilities : Prepare and maintain client files, onboarding documents, and account applications ensuring compliance with regulatory standards Support daily office operations, including extensive work with Fidelity Investments' custodian group, CRM management, document filing, and correspondence handling Assist with preparation of client reports, statements, and performance reviews Coordinate with custodians/service providers regarding account activity, documentation, and problem resolution Monitor deadlines and follow up on internal/external requests, account transfers, and outstanding paperwork Ensure all client interactions and data handling adhere to compliance and confidentiality requirements set by SEC and FINRA regulations Perform additional operational or administrative tasks to assist advisors

Requirements : 3-10+ years of administrative, operations, and/or client service experience with an RIA Bachelor's degree in business, finance, or related field preferred; relevant experience may be considered in lieu of degree Strong knowledge of Fidelity's custodian operations a plus Familiarity with Microsoft Office Suite, CRM systems (such as Black Diamond or Redtail), and DocuSign preferred Excellent written and verbal communication skills; client-first mindset; high attention to detail with problem-solving ability; able to multi-task while maintaining accuracy; committed to maintaining confidentiality and regulatory compliance; proactive; and strong organizational skills

This position offers a base salary range of $70,000-85,000 with flexibility depending on experience and qualifications. In addition, the role is eligible for a performance-based bonus, insurance (short and long-term disability, dental, vision), 401k, paid vacation, etc.
