Job Summary:
The Vinyl Ambassador plays a unique and essential role in shaping the guest experience at The Gunter Hotel, where music is at the heart of our identity. This position manages the hotel's vinyl library and its guest-facing vinyl check-out program while also ensuring the integrity, organization, and performance of our vinyl collection through CRM tracking and reporting. The ideal candidate is both musically knowledgeable and guest service-oriented, capable of making quick, meaningful connections and curating personalized music recommendations.
QUALIFICATIONS:
Passion for music and deep knowledge of various genres, artists, and musical eras. Strong interpersonal skills and ability to connect quickly with a diverse range of guests. Previous experience in guest services, hospitality, retail, or music curation preferred. Detail-oriented with excellent organizational and multitasking skills. Familiarity with CRM systems, data entry, and basic reporting tools. Comfortable working independently and as part of a collaborative team. JOB RESPONSIBILITIES:
Guest Interaction & Experience :
Serve as the primary point of contact for guests engaging with the vinyl library. Recommend albums based on guest preferences, musical eras, or moods. Curate and process vinyl requests submitted via CRM or other channels. Provide warm, enthusiastic service that reflects the hotel's music-forward culture. Process vinyl returns, ensuring proper handling and care of each album. Log and escalate any records returned in poor or incorrect condition. Educate guests on how to use record players and care for vinyl. Works closely with Marketing Manager to plan and execute hotel music activations. Library Management :
Maintain a clean, well-organized vinyl library that is easy to browse and navigate. Track check-outs and returns systematically to ensure proper inventory control. Conduct routine visual inspections and condition checks of records and jackets. Organize and refile records with accuracy and attention to detail. CRM & Reporting :
Utilize the hotel's CRM system to manage vinyl requests, check-outs, and guest preferences. Log guest interactions, album preferences, and notable requests for trend analysis. Prepare periodic reports that detail library usage, performance metrics, guest engagement, and inventory trends. Identify opportunities for library improvements or new acquisitions based on usage data. Operational & Physical Requirements :
Comfortable working onsite for extended periods, with frequent standing, crouching, and light lifting. Utilize the station chair as needed to mitigate physical strain during longer shifts. Handle high-volume periods of check-outs/returns in an organized and efficient manner. Growth Opportunity:
The Vinyl Ambassador role is considered a feeder for the Lead Vinyl Ambassador position, which includes higher-level responsibilities such as overseeing team operations, leading vinyl condition audits, and curating the overall direction of the collection. While this lead role is typically filled from within, there is strong potential for internal promotion following demonstrated performance, knowledge of workflow, and cultural alignment. Training and mentorship will be provided by an experienced ambassador during this transition.
