Hotel Reservations Agent

Job Summary: Check in and check out hotel guests courteously and efficiently; process all payments according to established hotel requirements. Provide information to any guest or visitor inquiry. Job Duties: Receives contracts detailing room allotments for conventions from sales representative and ensures the correct information is in the system. Corresponds with guests, clients and travel agents to answer special requests for rooms and rates. Process guaranteed no show charges and advanced deposits. Research travel agent commissions and requests. Book room reservations while focusing on maximizing room revenue and average rate using standard rate quoting scenario at all times. Assist with NOR1 upgrade requests and up sell rooms when possible. Enter reservations into the computer according to standard operating procedures. Send confirmations. Communicate and work closely with the sales department concerning group bookings. Handle all special reservations, to include V.I.P. reservations, packages and discounts. Book and block rooms using hotel standards for Group Rooming Lists and Booking Agreements. Monitor daily sales activity and alert Guest Services Manager of sold-out nights, group status and possible problem situations. Prepares reports for use by the hotel staff as needed. Assists with Kipsu text requests from guests. Attends bi-weekly revenue call to update information related to rate strategy. Will act as PBX operator by answering, screening, and routing outside and in-house calls in an attentive, courteous and efficient manner. Answer guest inquiries about hotel services, facilities and hours of operation. Keeps record of requests placed by guests and ensures requests are completed. Completes work orders for the engineering department. Operates radio system to relay in-house messages and information. Minimum Requirements: Minimum 18 years of age. US work authorization required. One to two years related experience and/or training; preferably in a similar hotel setting. Previous experience with a reservations system, OnQ preferred. Working knowledge of computers and various software including Microsoft Word & Excel. Able to work with little to no supervision, and as part of a team. Strong attention to detail. Able to effectively deal with customers, some of whom will require high levels of patience, tact and diplomacy to defuse anger to collect accurate information. Able to effectively communicate in English, in both written and verbal forms. Able to listen effectively and to speak English clearly over the telephone. Able to demonstrate high energy and a strong sense of customer service. Able to sit for extended periods of time. Must meet grooming standards. Willingness to work varied shifts, including weekends and holidays.
