Bessemer Trust is seeking an executive assistant to support its internal equity investment department. The equity team manages several multi-billion-dollar portfolios, and the assistant will provide high-level administrative and organizational support to all teams.
The successful candidate is intellectually curious and intuitive with a track record of functioning independently in fast-paced, results-oriented environments. The candidate must possess exceptional organizational skills that encompass a high proficiency in managing multiple tasks and deadlines. In addition, it is critical for this role to maintain flexibility and adapt to changing schedules, convey a positive attitude, and accept constructive feedback.
Responsibilities
- Calendar management and coordination of six team schedules including but not limited to high volumes of internal and external meetings that involve managing logistics like catering, materials, attendee registration, conference room, A/V, IT or Helpdesk etc.
- Manage logistics for analyst/management presentations, investor events or external conferences.
- Arrange travel for teams via internal processes including itineraries, lodging, transport, visas if needed, meeting logistics etc. and process all expenses promptly.
- Build relationships with broker sales teams to streamline meeting coordination and log corporate access and broker interactions.
- Track gifts and entertainment in compliance with firm policies.
- Help/assist with the management of relationships and processes with third-party providers including, but not limited to, data management services.
- Work closely with key internal partner teams (Marketing, Compliance, Risk, Technology, Trading, Operations, Client Reporting) to ensure timeliness in deliverables.
- Use FactSet and internal data tools to respond to inquiries and generate regular reports (e.g., performance attribution and portfolio characteristics, team data etc.).
- Prepare materials: slide decks, charts, tables, summaries for research reports and internal presentations.
- Participate in special projects and initiatives as needed, contributing to the development and execution of strategic objectives.
Qualifications
- Bachelor’s degree preferred.
- Prior experience as executive assistant, preferably in financial services / equity research / investment banking.
- Excellent organizational and time-management skills; ability to balance multiple, often conflicting priorities.
- Proactive and self-starting; ability to anticipate the needs of the team or executive and follow-up without prompting.
- Proficiency in MS Office, Word, PowerPoint, and Excel.
- Strong interpersonal and communication skills; able to coordinate across departments.
- High attention to data integrity, detail, and process.
- Familiarity with Bloomberg, Factset, and Concur is a plus.
The base salary range for this position is $85,000.00 - $115,000.00. Actual salaries will vary and will be based on various factors, such as skills, experience, and qualification for the role. In addition, this position may be eligible for a discretionary incentive based on individual and company performance.
