A leading law firm is seeking an experienced Legal Secretary to provide high-level administrative and clerical support to attorneys, professionals, and paralegals within the Private Clients, Trusts, and Estates practice. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.

Key Responsibilities

  • Draft and prepare accurate correspondence, memoranda, and legal documents from templates, handwritten drafts, and transcription software.
  • Manage administrative processes including check requests, new case reports, conflict checks, and file openings.
  • Assist with client billing, including proforma review and edits, finalizing invoices, and coordinating with clients and accounting.
  • Maintain organized records and file documents in accordance with firm policies, both electronically and in paper form.
  • Schedule meetings, coordinate conference rooms and catering, and manage attorney calendars and deadlines.
  • Support time entry and expense reimbursements for assigned attorneys.
  • Answer and route phone calls, take messages, and maintain strong client-facing communication.
  • Arrange travel logistics for attorneys and professionals.
  • Coordinate with administrative staff to ensure timely completion of work assignments.
  • Provide coverage for other secretaries as needed and assist with overflow work.

Qualifications

  • Minimum of 5 years of legal secretarial experience, with at least 3 years supporting billing attorneys in trusts and estates or related practice areas.
  • Proficiency in MS Office Suite, iManage, PDF tools (Kofax, Adobe Acrobat), Workshare Compare, and time/billing software (Elite/3E preferred).
  • Typing speed of at least 60 wpm with high accuracy.
  • Strong written and verbal communication skills.
  • Highly organized and detail-oriented, with the ability to manage multiple tasks under tight deadlines.
  • Flexible and adaptable to changing priorities, with availability to work overtime when required.
  • Minimum of a high school diploma or equivalent; college degree preferred but not required.

Compensation

$70,000 – $105,000 annually (depending on experience, education, and qualifications).
