Special Events and Travel Manager Location:
New York City (flexible for domestic and international travel as needed) Compensation:
$150,000 - $175,000+ DOE Schedule:
Monday-Friday, 9:00 AM - 6:00 PM, with flexibility for evenings, weekends, and travel as required Reports to:

We are seeking a highly organized and creative Special Events and Travel Manager to oversee the planning and execution of events and travel for a private household. This role is responsible for delivering thoughtful, detail-driven experiences that reflect a strong aesthetic and a deep understanding of the clients' preferences - whether it's a casual barbecue with friends in the mountains or an elegant dinner party in Manhattan.
The ideal candidate will bring a refined eye, a hands-on approach, and the ability to balance creativity with meticulous attention to detail. They will be adept at managing multiple projects simultaneously, anticipating needs, and ensuring each event or travel experience feels seamless and personalized. Professionalism, discretion, and a collaborative spirit are essential, as is the ability to stay calm and composed under pressure. Key Responsibilities Lead the planning and production of luxury-level events, from intimate dinners to large-scale gatherings (e.g., holiday parties, Halloween events, family celebrations). Develop event concepts and oversee all details including décor, music, lighting, catering, florals, rentals, entertainment, and guest experience. Act as the on-the-ground lead during events, ensuring flawless execution and problem-solving in real time. Partner with the family's existing travel team to coordinate complex domestic and international itineraries. Travel with the family or groups (e.g., 20+ guests to the mountains) to oversee logistics and ensure a seamless experience from arrival to departure. Source and coordinate specialty services as requested (massage therapists, entertainment, unique event experiences). Maintain strong vendor relationships, negotiate contracts, and oversee budgets for events and travel projects. Manage administrative tasks related to events and travel, including detailed schedules, itineraries, and post-event reporting. Provide leadership, professionalism, and creativity in every project, always anticipating needs and maintaining confidentiality. Must be willing to travel between properties for events + additional domestic and international travel as needed. Qualifications Bachelor's degree in hospitality, event management, or related field preferred. Minimum of 5+ years' experience in high-level event planning, hospitality management, or luxury travel coordination. Proven ability to design, plan, and execute events of varying scale with creativity and precision. Experience managing complex domestic and international travel itineraries. Strong vendor network and ability to source, negotiate, and manage service providers. Exceptional organizational skills with the ability to manage multiple projects simultaneously. Excellent communication and interpersonal skills; able to collaborate with internal teams, principals, and external partners. A "cool under pressure" demeanor with a keen eye for detail, taste, and aesthetics. Flexible and adaptable; able to travel frequently and adjust to changing schedules. High level of discretion, integrity, and professionalism. Legally authorized to work in the US. Must be local to NYC. Must be willing to undergo a detailed background check and reference check process. Must be willing to travel both domestically and internationally. Valid passport required. Compensation and Benefits
