Events & Volunteer Services Coordinator

The Events Coordinator plays a key role in supporting the Director of Events & Volunteer Services in the planning, coordination, and execution of donor benefit, fundraising, cultivation, and stewardship events. This position requires a proactive and detail-oriented professional who takes initiative, anticipates needs, and thrives in a fast-paced environment. The ideal candidate is technologically savvy, resourceful, and eager to learn, contributing to the success of high-profile events and the overall goals of the Development department. A strong fundraising mindset, understanding how events drive donor engagement and philanthropic support is essential. Experience in CRM and Event/RSVP software preferred.
Event Planning & Execution
Partner with the Director of Events & Volunteer Services on the planning and execution of donor benefit, fundraising, cultivation, and stewardship events. Develop detailed event timelines, coordinate logistics, and anticipate needs to ensure seamless execution. Prepare and manage invitation lists, track RSVPs, and oversee guest communications. Supervise event check-in, coordinate volunteers, and provide on-site event support. Manage post-event follow-up, including photo uploads and Tessitura attendance entry. Coordinate design and production of event collateral in partnership with internal teams, including development and marketing. Maintain and update the Master Events Calendar, Development Department calendar, and Events webpages content. Draft and track graphic design requests and fulfillment schedules with Marketing. Process event invoices and maintain organized event files (digital and physical). Review event budgets, track costs, expenses, and revenues for all events and tours, and prepare reconciliations as needed. Organize and maintain the event photo library. Gala & Signature Events
Support the Director of Events & Volunteer Services in executing the annual Gala and other large-scale fundraising events, ensuring all details are flawlessly managed. Manage the Gala renewal process and coordinate Gala Host Committee meetings, including agendas, follow-up, and fundraising components. Collaborate with Development colleagues with a strong fundraising mindset, ensuring events advance donor cultivation and stewardship goals. Other Department Support
Collaborate with the Director of Annual Fund Giving and the Manager of Corporate Giving to assist and help coordinate with Endowment/Planned Giving and Corporate events. Collaborate with the Events & Volunteer Services team to provide support to volunteer led events as needed. Requirements
Bachelors Degree required 2-5 years of experience planning and executing VIP events Strong attention to detail CRM experience preferred Advanced proficiency in Microsoft Office Suite Experience with the Tessitura database, Greenvelope and SocialTables.com a plus Must be available for evenings and weekends.
