About the Role

ThermaServe, Inc. (TSI), a trusted HVAC Mechanical and Plumbing company in Jacksonville, FL, is seeking a Dispatcher / Service Coordinator to join our growing service team. This role is the hub of our service department—connecting customers, technicians, and management to ensure daily operations run smoothly. From scheduling field technicians to communicating with customers and supporting the service manager, you’ll play a pivotal role in maximizing efficiency and ensuring customer satisfaction.

Be at the center of operations, coordinating the daily activities of our skilled field technicians. Develop leadership and management skills while supporting a busy service team. Contribute directly to the company’s success by maximizing efficiency and ensuring customer satisfaction. Key Responsibilities

Scheduling & Dispatching (40%)

Schedule, prioritize, and dispatch field service technicians daily to meet customer needs and company goals. Use dispatching software and routing tools to maximize efficiency, technician productivity, and customer satisfaction. Adjust schedules in real-time to respond to emergencies, delays, or changing priorities. Customer Communication (25%)

Answer inbound calls and respond to customer requests promptly. Make outbound calls to schedule service appointments and follow up on outstanding needs. Deliver

best-in-class customer service

by providing clear communication, setting expectations, and resolving issues professionally. Schedule appointments, provide updates, and follow up to ensure timely resolution. Deliver professional, clear, and customer-focused communication to enhance the service experience Administrative & Data Management Support (20%)

Maintain accurate customer information in the database. Manage documentation including service reports, technician records, and training/qualification files. Provide administrative support to the Service Manager, ensuring all records and tasks remain organized. Team & Operations Support (15%)

Coordinate with the warehouse to ensure needed materials are staged for technicians. Assist in preparing and tracking reports for the Service Manager. Collaborate with HR and management to keep technician certifications and training records up to date. Support overall office operations, including clerical tasks such as filing, scanning, and maintaining certification/training records. Ideal Candidate

Qualifications

High school diploma or equivalent required; AA degree or continued education preferred. 1–5 years of customer service experience (dispatching, construction, or trade industry, and/or data entry experience a plus). Strong multitasking skills, able to manage high volumes of calls/emails. Microsoft Office proficiency required; experience with dispatching software preferred. Excellent written and verbal communication skills. Strong attention to detail, organization, and follow-through. Skills
