Specific Information:
General Description:
Under supervision of the Director of Special Education, manage the Special Services office, support school staff with a variety of duties, perform administrative duties for the Director and other staff as assigned. Welcome and provide assistance and information to the parents, students, service providers, and staff. Perform all the necessary functions of scheduling meetings and coordinating services. Maintain accurate student Special Educations records. Prepare and maintain files, permanent records and cumulative folders. Maintain confidentiality. Promote a friendly and welcoming environment for students, parents, and staff.

Ability to perform all of the duties of the position efficiently and in an open environment with interruptions and distractions. Ability to read and interpret documents such as procedures, policies, rules, operating instructions and directives. Ability to listen and obtain clarification, record and deliver information, explain procedures, gather and analyze information, identify problems and solutions and to follow oral and written instructions. Ability to write reports and correspondence. Ability to learn, comprehend and accurately maintain student records and other administration information systems and to comprehend relevant state education and reporting laws. Ability to communicate courteously and effectively with students, parents and staff.
Physical Tasks:
Work involves sitting and operating a keyboard to enter data into a computer for extended periods of time. Physical exertion is not normally required to perform all aspects of the job. Ability to operate a computer, calculator, copy machine, telephone, intercom system and other office equipment with dexterity and in a safe and efficient manner. Visual weakness must not prohibit the performance of assigned duties. Verbal communicative ability required. Work may require moving from one location to another, reaching, stooping, bending and holding and grasping objects.
Working Conditions:
Indoor - school office environment with constant interruptions and extensive public contact. Outdoor - all weather conditions and temperatures. Occasional playground or sports field environment with exposure to noise, dust and fumes.

- Duty schedule: 25 hours per week; Monday through Thursday during the school year; occasional work on Friday mornings and during the summer
- Pay range: $16.75 to $18.05 per hour, depending on education and experience

Essential Job Elements:
- Provides clerical assistance to the Director of Special Education and other department staff as needed.
- Handles incoming phone calls and contacts parents as needed.
- Schedules appointments for the Special Education meetings.
- Works with and coordinates with Special Education service providers. Works with service providers to ensure they have necessary information and materials.
- Prepares a variety of correspondence and other communication both internal and external.
- Prepares Medicaid billings and reports for elligible services provided by the District.
- Interacts with a variety of technologies and computer applications that support the administrative functions of the school and District, including electronic recordkeeping systems and coordinating with multiple software programs.
- Assists with ordering materials and preparing purchase requisitions, including testing protocols and assessment tools.
- Track and calendar meetings and Student records. Maintains and archives records in compliance with federal and state records retention requirements.
- Assist with Medicaid billing and reports.
- Assists with registration records of students according to established rules and procedures.
- Process requests for student records.
- Coordinate, update and maintain confidential student records.
- Input, maintain, update and search student information system and databases for records and reports specific to area of assignment.
- Review student files for accuracy.
- Process student transfers; receive and review transcripts for compliance with District policies.
- Attends staff meetings, conferences, training and other meetings as requested. Help with Professional development of Staff, Teachers, including using technology and set-up materials.
- Maintains an attitude and work environment that generates, collaboration and caring.
- Assures compliance with appropriate safety practices and procedures and with applicable federal, state and local codes, regulations and requirements.
- Coordinate and work cooperatively with other departments and staff as needed.
- Support and work effectively with school staff and other administrators.
- Maintain confidentiality regarding student, staff and management related information.
- Support with integrity the mission, vision, goals and positive culture of Joseph City Schools.
- Perform other duties as assigned.
- High school diploma or equivalent.
- A combination of clerical work experience and post-secondary education in job related topics, including use of word processing and spreadsheet applications to equal 2 years, preferred.
- Type 40 words per minute.
- Good math, verbal and written communication skills.
- Demonstrated communications and public relations skills.
- Maintain a current IVP Fingerprint card.
- Completion of District administered skills tests.
- Maintains a high degree of confidentiality on sensitive issues.
