Description

Job Overview

The Office Assistant is responsible for assisting the central office staff with various administration tasks to include answering telephone calls, delivering messages, opening mail, purchasing of office and program supplies and general office operations.

Job Responsibilities

Answers incoming calls and assumes other receptionist duties. Responds to questions and requests for information. Maintains confidentiality of documentation. Maintains office and program supplies by checking inventory and order items. Assumes responsibility for monthly submission of copy machines codes to vendor for billing purposes. Assist in planning and organizing staff meetings, staff development, and special events. Generates memos, emails and reports when appropriate. Other duties as assigned. Education

Required:

High School Diploma or GED equivalent, with formal training in business office procedures, office systems, business communications and computer literacy. Preferred:

Associate's or Bachelor's Degree Work Experience

Required:

Minimum of one (1) year of administrative assistant or office assistant experience Preferred:

Three (3) years of administrative assistant or office assistant experience. Additional Skills

Word processing speed and accuracy of 45 WPM Must be computer literate, proficient working knowledge in word processing, spreadsheets, and databases. Bilingual (English/Spanish - Oral and Written) Accurate, detail-oriented and able to meet deadlines Able to handle multiple tasks at one time Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel. Ability to analyze and revise operating practices to improve efficiency. Detail oriented and comfortable working in a fast-paced office environment. Exceptional communication skills. Superior organization skills and dedication to completing projects in a timely manner. Must be able to lift, move, push or pull 10-30 lbs. on a frequent basis Travel

Ability to travel to various sites: Dependable transportation is required daily with a valid driver's license, a clean driving record (subject to annual MVR (Motor Vehicle Report) check and policy), current auto liability insurance and be bondable by AVANCE, Inc. Travel required up to 10% of the time for work-related site visits, meetings, and functions. Working Conditions

Work is generally performed in an office environment. Noise level in the work environment is moderate to occasionally loud (examples: business office with computers and printers, light to moderate traffic, human voices). Standard office equipment generally used includes: Telephone Personal Computer (monitor, keyboard, and mouse) or Tablet Printer/Photocopy Machine Calculator May be required to operate a motor vehicle during the course of duties.

Mental and Physical Demands

Maintain emotional control under stress; work with interruptions and deadlines; walking, standing, stooping, bending, pulling and pushing, use hands to finger, handle or feel; reach with hands and arms; occasional: lifting/carrying, pulling/pushing 10-30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Environmental Factors

Occasional exposure to: biological hazards (communicable diseases, bacteria, insects, mold, fungi, etc.). Occasional expose to weather related conditions when working in outside environment/neighborhoods and events.
