The
Facilities Coordinator
plays a vital role in supporting site operations through effective maintenance planning, CMMS management, and cross-functional collaboration. This role ensures optimal equipment uptime, supports R&D initiatives, and contributes to a safe and efficient workplace. The Facilities Coordinator also assists with event planning, vendor management, and data reporting to drive continuous improvement and client satisfaction.
Key Responsibilities Develop and manage preventive, predictive, and corrective maintenance plans using CMMS (SAP and Hexagon). Maintain accurate asset inventory and data across systems. Serve as SME for Hexagon CMMS and support its implementation ahead of site relocation. Monitor maintenance KPIs and contribute to Quarterly Business Reviews (QBRs). Coordinate site events including meetings, trainings, and special functions. Conduct facility inspections and submit work orders and safety observations. Manage vendor relationships and service contracts (e.g., Cannon, Grainger, Shred-it). Process invoices and purchase orders via Coupa and LF systems. Utilize Waites monitoring system to enhance maintenance efficiency. Support root cause analysis and fault detection using CMMS and BMS data. Collaborate with Engineering, EHS, Security, and Workplace Services teams. Track team utilization and contribute to operational planning. Perform other duties as assigned.
Qualifications
Required :
Bachelor’s degree in a related field. 1–5 years of experience in facilities maintenance or a similar trade. Strong communication and interpersonal skills. Proficiency in Microsoft Word, Excel, and PowerPoint. Excellent organizational and time management abilities.
Preferred
Experience with Hexagon CMMS. Familiarity with trades such as electrical, plumbing, HVAC, and carpentry. Experience in an R&D laboratory environment. Associate or bachelor’s degree in engineering or a related field. Understanding of maintenance practices and the maintenance pyramid.
