About the Role

As a key member of the on-site Membership and Visitor Services Department, The Huntington Reception Associate provides institution wide support through the answering and routing of phone calls, emails, and in-person inquiries. As part of the team that welcomes and initiates the first impression of the Huntington experience, this staff member will provide exceptional customer service with an emphasis on Membership, Visitor Services, dining inquiries, transactions, and reservations. Maintains lost and found items and database, helps with wheelchair loan distribution and locker assignments. This role reports to the Reception and Visitor Services Manager.

This is a part-time position set at 24 hours a week (Schedule: Mon., Wed., Thu., Fri. from 10 a.m. - 5 p.m.).

Essential Duties

Operates multiple line telephone system, answering and directing calls to appropriate individuals/departments. Provides accurate information to callers, working courteously and effectively with the public, staff, volunteers, vendors, and outside organizations. Greets guests to the visitor services center and provides information to public, members, and staff guests. May process reservations for guests entering the grounds and guide guests to different areas as needed. Supports Membership and Visitor Services with email inquiries, voicemail, membership and ticket transactions and reservations, as well as dining inquiries. Utilizes multiple software; Nextiva, Freshdesk, Ticketure, Raisers Edge, and MS Office Suite to research and answer inquiries. Aids in responding reception email address and all Huntington event related questions. Logs lost and found items, logging and contacting owners when possible. Issues out locker keys for items prohibited by security and maintains locker cleanliness. Aids in locker inspections when items are left behind, and contacts visitors when keys are not returned. Assists with checking in large/oversized items while visitor is on the grounds. Works closely with Manager, for latest information on events, event reservations, and daily questions. Assists with wheelchair loan distribution, returns and waitlist. Maintains cleanliness, organization, and supply of reception window. Services the comment box, forwarding correspondence to Manager. Assists with a variety of administrative assignments, mailings, or special events as needed. Candidate Requirements and Experience

Required

High School diploma or GED. Excellent verbal and written communication skills and the ability to communicate complex information over phone and email concisely. Energetic and positive attitude with exceptional interpersonal skills, handling all situations with tact, a professional demeanor, accuracy, and attention to detail. Experience with de-escalation methods. Ability to manage multiple incoming calls with speed and efficiency. Punctual and dependable. Ability to work independently and make good judgment. Available to work weekend/weekday shifts as needed/requested and holidays Troubleshoots concerns, creates solutions and reports to the Reception and Visitor Services Manager or appropriate staff when necessary. Sensitivity to working with diverse audiences.

Preferred

Some college-level coursework Knowledge of Microsoft Office, donor database software and ticketing software experience a plus. Ability to adapt to changing situations and circumstances. Ability to lift, move, or pull up to 30 lbs. Experience working in a non-profit, museum setting or ticket sales servicing. Working Conditions

The reception office is a window desk in the Education and Visitor Center that can be subject to weather conditions as it is both an outdoor/indoor office. Office space is shared, with one other associate. Work schedule will be scheduled monthly at 24 hours a week (Mon., Wed., Thu., Fri., 10 a.m.- 5 p.m.).
