Reports To: Office Manager

Loenbro is seeking to hire an Office Administrator for our Glenrock, WY office. The ideal candidate will collaborate closely with the Project Management team on construction project sites. This position is office-based, working directly with the management team. The successful candidate will demonstrate strong attention to detail, excellent organizational skills, and the ability to thrive in a fast-paced, structured, routine-oriented environment.

Job Duties and Responsibilities:

  • Greet and assist walk-in customers.
  • Handle all inbound calls professionally and efficiently.
  • Facilitate employee orientation and onboarding processes.
  • Perform time entry and ensure accurate tracking of hours.
  • Manage project logs in coordination with Project Managers, including invoicing for project-based and time-and-material (T&M) work, as well as handling purchase orders (POs).
  • Utilize computer scanners and imaging software for document processing.
  • Oversee document management to ensure accurate record-keeping and accessibility.
  • Collaborate with multiple personnel and customers, effectively multitasking in a fast-paced environment.
  • Work closely with the Accounts Payable team to support financial operations.
  • Other duties as assigned.

Skills/Qualifications:

  • High school diploma or equivalent; an associate or bachelor's degree in HR or a related field is a plus.
  • 1–2 years of administrative or clerical experience, with exposure to HR functions preferred.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills.
  • Excellent organizational and time management skills with the ability to manage multiple tasks efficiently.
  • High attention to detail and accuracy.
  • Ability to handle sensitive and confidential information with the utmost discretion.
  • Self-driven with a strong desire for continuous learning and professional growth.
  • Team-oriented mindset with problem-solving abilities to address challenges collaboratively.
  • Familiarity with construction safety protocols and industry-specific onboarding processes is advantageous.
  • Comply with all company policies and procedures.
  • Able to work Monday through Friday 8am-5pm at the Glenrock Office.
  • Climbing up and down stairs.
  • Lifting up to 35 pounds occasionally.
  • Occasionally may need to kneel, reach or stoop.
  • Driving if required to travel to and from office.
  • If driving is required, a valid driver’s license and proof of insurability is required. All drivers are subject to a DMV background records search.
