Overview Of Work Environment/Client Nuances

Front Desk Operations

  • Acts as the initial point of contact for visitors, clients, and employees
  • Provides professional, welcoming, and efficient service

Receptionist Responsibilities

  • Manages incoming calls, visitor sign-ins, and general inquiries
  • Coordinates with internal teams for smooth front-of-house activities

Concierge Support

  • Offers tailored assistance to clients and employees (e.g., booking services, directions, amenities)
  • Maintains a high level of discretion and service-oriented demeanor

Resource's Typical Working Day

Frontline Communication

  • Answering incoming phone calls and directing inquiries appropriately
  • Sending service distribution messages to designated distribution lists
  • Making follow-up phone calls related to processing feedback

Office Upkeep & Common Areas

  • Maintaining cleanliness and tidiness of shared spaces throughout the day
  • Stocking snacks and refreshments
  • Unloading and loading the dishwasher

Mail & Supplies Handling

  • Checking and sorting incoming mail
  • Ordering and restocking office supplies through web-based systems
  • Ensuring adequate paper supply for copiers and printers

Technology & Troubleshooting

  • Utilizing laptops and Outlook/web-based systems for communication and task tracking
  • Troubleshooting basic office tech issues (e.g. printers, connectivity)

General Administrative Support

  • Supporting office staff with various admin tasks

Must Have Skills

  • Ability to Function Independently Demonstrates strong initiative, self-direction, and the capability to perform tasks without constant supervision.
  • Effective Communication Skills Capable of conveying information clearly and professionally across various channelsverbal, written, and digital.
  • Self-Service Mindset Takes ownership of tasks and proactively seeks out solutions using available tools and resources.
  • Approachable & Personable Builds rapport easily; comfortable initiating interactions and fostering positive relationships with clients, visitors, and team members.

Years of Experience: At least 2 years of experience in Receptionist/Concierge role and/or related industries

Education: GED

Software Skills

  • Basic computer functions
  • Microsoft Office
  • Outlook and email communication
  • Adobe Acrobat and PDF tools
  • Web-based systems and navigation
