Billing Specialist (Operations)

Inspira Financial The Billing Specialist will report to the Manager, Fee Support in the R&C Operations. This role is responsible for billing, payment processing, and maintenance of Annual Account Fees on all client accounts supporting multiple billing frequencies. The Administrator will ensure accurate and timely collection of fees. The ideal candidate will have good time management skills, be able to prioritize work and provide timely feedback to Team Lead and Manager. Through verbal and written communication, the incumbent will need to develop, strengthen, and maintain a positive relationship with all internal departments.
Responsibilities
Process credit card, ACH, invoices and direct debit billing transactions
Complete daily processing of collecting fees including, posting of checks, wires and ACH transactions
Manage client advisor billing and maintenance
Review and process high volume of client account fee waivers
Research and respond to inquiries via emails, instant messages, phone calls, scanned documents and case resolution within our CRM system
Review of daily scanned documents in our imaging system
Communicate regularly with multiple internal departments and business partners
Record important notes and supporting documentation within the client account portal
Daily balancing reports and numerous monthly fee reconciliation audits
Maintenance of client accounting records with new or updated payment method and/or client contact information changes
Credit card management
Extensive research and review of account discrepancies
Effectively communicate and utilize sound judgement to escalate issues that may require intervention of the Team Lead or Manager
Assist in the development and revision of policies and procedures with emphasis on internal controls
Ensure that all processing consistently meets established service levels, policies and procedures and done with a high degree of accuracy
Other duties and projects as assigned
Qualifications
3-5 years of experience. Bachelor’s Degree in Business, Finance, or related field
Proactive and analytical. Able to problem-solve and propose resolutions
Ability to enter data and perform duties quickly, efficiently and accurately
Proficiency with Microsoft Office Suites - Excel, Word (including mail merge) and Outlook
Strong verbal and written communication skills
Proven ability to prioritize, and complete assignments within specified timelines
Detail-oriented, organized and dependable
An optimistic team player with a consistently positive and flexible attitude
Working knowledge of trust accounting systems, retirement accounts, IRAs, and alternative assets a plus
IRA/IRS rules and regulations knowledge and experience a plus
Ability to have reliable internet service to work remotely
Pay Range $20.45/hr-$24.00/hr
Compensation & Benefits The compensation for this position will vary depending on factors such as location, skills and experience. The compensation package may also include incentive and bonus opportunities. Location & Work Policy Remote roles can sit in AL, AZ, FL, GA, IA, IL, IN, MI, MN, MO, NC, NE, PA, SC, TN, TX, UT, VA and WV. Remote status and role locations are subject to change. Relocation is not provided. Employees within a 90-minute radius of Oak Brook, IL headquarters are required to adhere to in-office guidelines of 4 days per month (one of which must be a Monday or Friday). This requirement does not apply to support specialist positions.
