Responsibilities

Supports and demonstrates fluency in the Firm’s Trusted Advisor and Proactive Assistance programs.

Maintains a professional demeanor, confidentiality, and strong verbal and written communication aligned with business standards.

Collaborates with other departments to solve business problems and communicates effectively at all levels of the organization.

Maintains a positive, professional attitude and demonstrates curiosity and responsiveness to feedback.

Composes, edits and proofs correspondence, presentations and documents with high attention to detail and strong document production skills.

Manages the lawyer’s inbox, organizes Outlook folders, and ensures client/matter documents and emails are stored in iManage Workspaces.

Organizes and maintains paper and electronic files per Firm records retention policies.

Arranges travel using appropriate tools, maintains up-to-date travel preferences, and monitors travel arrangements for smooth execution.

Provides superior client service to internal and external clients with a proactive, can-do attitude.

Assists with new client and new matter intake and monitors progress and follow-up as necessary.

Acts as gatekeeper, prioritizes conflicting needs, handles matters confidentially and follows through to completion.

Demonstrates knowledge of lawyers’ work habits and preferences; anticipates needs and suggests process improvements.

Maintains professional relationships with other legal counsel, courts, agencies and professional organizations on behalf of the lawyer.

Works closely with lawyers to keep them informed of upcoming commitments and responsibilities; maintains updated client contacts in the Firm’s systems.

Obtains subject matter expert knowledge of the billing process and proactively manages lawyers’ diaries and scheduling across multiple lawyers, clients, offices and time zones.

Coordinates billing processes and approvals to ensure timely delivery; reconciles and processes expenses and tracks business and personal expenses as needed.

Coaches lawyers to delegate non-billable tasks to the LEA to allow focus on legal work; tasks include document preparation, filing, and other support.

Demonstrates mastery of Microsoft Outlook and manages multiple calendars; coordinates internal/external meetings with appropriate logistics.

Tracks lawyers’ business development activities and fosters collaboration with teammates to ensure high-quality support; cross-trains teammates for continuity.

Maintains collaborative relationships with teammates, managers, and firm-wide colleagues and participates in team activities and knowledge-sharing programs.

Maintains subject matter expertise in the Firm’s core applications and adheres to best practices.

Perform other work-related duties as assigned.

Qualifications

College degree or equivalent.

Expert proficiency with MS Office (Word, Excel, PowerPoint, Outlook).

Strong organizational skills with the ability to prioritize multiple tasks and maintain attention to detail.

Strong interpersonal skills and the ability to build relationships with internal and external lawyers, staff, and clients.

Excellent written and verbal communication skills.

Proactive problem-solving and strong decision-making capability.

Compensation and Benefits Ropes & Gray offers a comprehensive Total Rewards package, including health and well-being benefits, professional development, career growth opportunities and a collegial culture. The pay range listed for this role is a starting point and may vary based on qualifications, experience, location, market data and internal equity. The role is eligible for a discretionary bonus based on performance.

Washington, D.C.: $70,500 – $107,550

Working Conditions This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for continuity, development and collaboration.
