Associate General Manager
supports the General Manager (GM) in the oversight of day-to-day programming operations of the institution and works directly as a general management representative on assigned BAM programs, produced shows, and rentals from start to finish: budgeting, offers/deal memos, negotiations, contracting, liaising with company and BAM, administrative operations, budget tracking, payment reconciliations, and financial closeouts. The ideal candidate will manage, and support BAM Programming as assigned from exploration to execution inclusive of presented programs, produced programs, off-site, and others, by working closely with BAM’s programming, production, producing, marketing, and finance teams, presenting and touring partners, visiting companies, and artists to ensure the successful execution of the Programs. Also, manage rentals and special projects as assigned, ensuring successful execution of each event from exploration through event completion. Exercise best institutional practices with BAM’s mission at the center while informing the institution of potential risk and working to help mitigate between BAM and the client. Essential Duties And Responsibilities
Provide management and coordination for BAM Programs, Rentals, Bookings and other Projects as assigned: Create budget for assigned projects using information from company/Programming and Research past budgets and current expense costs to aid in forecasting budgets for possible engagement. Be primary point of contact between Company and BAM from the deal memo through contract process, and update GM show files with ongoing correspondence. Prepare deal memos and contracts for review with GM and Producer & Chief Programming Ops. Officer, taking particular care to walk through new language created to progress negotiations and support BAM’s mission and policies. Manage budgets; collect, track, and maintain all expenses. Interface with GM and Finance Department as needed to execute payments, report reforecast budgets and create close outs. Collaborate with Programming to receive billing from companies and artists in contracting process; edit billing to implement institutional precedent, order, and style; ensure billing is correctly represented in Marketing routings and other determined processes for institutional wide distribution. Interface with Programming, Company, and Artists to work with HR onboarding and payroll process as necessary to support the Project. Facilitate ticket set up and on sale between Marketing, Ticket Services, Box Office, Digital Media, and Finance. Ensure compliance with Union (AEA, SDC, USA, etc.) requirements for BAM produced productions, as it pertains to union rules and employment at BAM includes bonding, contracts, benefits contributions, agency commissions and correspondence. Collect and ensure that required tax paperwork and insurance coverage is received, and escalate questions or indicate risks to GM, Producer & Chief Programming Ops. Officer, and other BAM staff as implicated. Engage and oversee consultants on a need basis for securing music rights and report music and monies as it pertains to ASCAP, BMI, and SESAC rights. Create and submit Purchase Orders (PVs) and track expenses against programming budgets for contract-related payments as well as expenses from GM, Theater Management, Artist Services, and Production departments as needed. Work with Company, Artist Services, Finance and Bank to arrange per diem as needed. Coordinate with Greenlight (in-house merch company) and Company for all merch sales. Supervise on-site operations day of event; coordinate with appropriate BAM staff and departments, as well as visiting companies as needed. Conduct meetings as necessary to interface with internal BAM departments and/or external partners to ensure smooth execution of events. Settle final company payments and process company fees, contract payments and other considerations for visiting companies, and process invoices for vendors for BAM programming and productions. Closeout all items and expenses with Program wrap-up and deliver/sign-off on final closeout. Work closely with GM, Producer & Chief Programming Ops. Officer, and other BAM staff to: Explore feasibility of projects with programming and producing, including budget analysis with production and marketing. Execute the work of the General Management Department by managing and recommending departmental policies and procedures, holding meetings as needed to support and maintain department performance within institution, providing guidance in onboarding and training of new hires within department. Support and enable BAM’s mission by providing the best possible environment to enrich BAM’s programming, strengthening rental and booking relationships on the ground, and encouraging continued collaboration in the future. Support scheduling coordination and communication through ArtsVision and other means as needed. Assist with compiling and analyzing programming budget data, and other data projects as assigned. Generate contracts as assigned pertaining to Programming, Artists, Curators, Rights, Consultants, etc. and maintain best practice language in collaboration with Legal, Finance, and other stakeholders. Support to create, track and maintain OTPS or General Department Budgets as needed. Directly supervise the following general GM Department: Facilitating cross department programming check in meetings. Supervise front of house logistics with Theater Management and other personnel. Help maintain GM petty cash through Finance. Manage and track budgets assigned. Serve as GM point of contact for Ticket Services staff to ensure up to date policies and procedures are reflected in customer service communications. Identify and facilitate opportunities to increase accessibility within programming. Support administrative needs, GM software maintenance, contract templates and language, billing precedents, front-of-house policies and ops in conjunction with other departments, rental inquiries, specific accessibility and diversity projects as assigned. Aid BAM departments looking for budget information and project codes, as well as fielding general BAM financial policy questions. Weigh in on general contract language with past precedent and current policy as needed. Conduct general clerical work (photocopying, filing, faxing, mailing/shipping, etc.)
