Key responsibilities include: Responding to patient calls providing general information and education. Greeting patients arriving for appointments, providing appropriate questionnaire(s), answering questions, and assisting patients with completion of forms and use of technology. Assessing needs of patients without appointments and processing requests for prescriptions, forms, appointments, or need to speak directly to clinical support. Reviewing schedules daily for accuracy in scheduling, needed ancillaries, and incoming records and making adjustments as needed. Completing any follow up needs for patients as directed by the After Visit Summary. Receiving incoming phone calls and appropriately assessing the needs of the caller and processing requests, taking messages, scheduling appointments, or transferring the call. Monitoring and completing system messages in a timely manner. Monitoring incoming faxes and reviewing each to determine the proper course of action. Reviewing all provider schedules at the end of day to identify and contact those patients who require follow up and processing letters to no shows in accordance with current policy. Supporting providers and staff in addressing patient questions/concerns. Monitoring the waiting room for patients in distress and seeking assistance when needed. Managing multiple in-baskets by monitoring, prioritizing, and properly routing the messages. Acting as liaison between primary care providers & specialists outside DH. Participating in initiatives to improve department workflows and policies. Delivering mail to mail room and picking up mail to be distributed within department on a daily basis. Responsible for building and editing templates and overriding the schedules when needed using best judgement. Working as a preceptor for new staff members to provide on the job training and assure a strong orientation. Serving as a resource for clinical secretaries for questions and problem-solving. Being a team player and collaborating with others throughout the system. Performing other duties as required or assigned.
