JOB PURPOSE

The Administrative Assistant provides critical support to the Program Manager and Disaster Case Management staff through administrative excellence, ensuring accuracy, timeliness, and compliance. This role maintains organizational efficiency by managing payroll, reporting, records, communications, and logistics while modeling professionalism, accountability, and client-centered service.

Essential Responsibilities

  • Manage payroll, timesheets, mileage submissions, and expense reports to ensure compliance and timeliness.
  • Provide administrative support, including answering calls/emails, drafting documents, and scheduling meetings.
  • Maintain records with accuracy and confidentiality, ensuring compliance with organizational policies.
  • Coordinate logistics for office operations, errands, and events, ensuring smooth functioning.
  • Support leadership by anticipating needs and improving administrative processes.
  • Deliver exceptional customer service, prioritizing client needs and fostering a positive organizational environment.

Qualifications

  • High School Diploma or GED; 3-5 years administrative experience, non-profit preferred.
  • Proficient in MS Office; strong math, proofreading, and customer service skills.
  • Valid driver’s license, reliable vehicle, and willingness to travel.
