Lilly is currently constructing an advanced manufacturing facility for production of API molecules. This facility is intended to provide APIs for current and future products, including new modalities. This is a unique opportunity to be a part of the startup of a greenfield manufacturing site.
Position Overview
The Administrative Assistant is responsible for providing administrative support to the API Plant.
Responsibilities
- Facilitate internal and external communications, including preparing presentations and meeting minutes.
- Respond to customer inquiries and requests.
- Manage leaders’ calendars, scheduling both ad hoc and recurring meetings, often coordinating with other departments.
- Maintain shared information systems, including monthly metrics and reports.
- Keep organizational charts current and ensure delivery to QA/library.
- Process accounts payable invoices and distribute incoming mail.
- Coordinate employee office moves and maintain office equipment.
- Perform general administrative tasks such as faxing, photocopying, and ordering supplies.
- Support travel arrangements and meeting logistics.
- Act as a liaison for computer and software support.
- Serve as backup for other administrative staff.
- Participate in area-specific administrative projects.
Basic Requirements
- High School Diploma
- 2+ years of administrative support experience
Additional Preferences
- Experience supporting executives.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities independently.
- Effective written and verbal communication across all levels.
- Problem-solving and troubleshooting capabilities.
