Position Summary
This position requires someone with a diverse skill set who will perform a dual role as both Receptionist and Administrative Assistant. The Receptionist/Administrative assistant will report to the Administrative Director. The role will encompass general front desk and office services responsibilities as well as provide administrative support to the Fund Finance team. The ideal candidate is someone who is self-motivated, enjoys working autonomously, and is extremely flexible.
This role is based in Greenwich, CT and will be partially remote on the following designated days:
- Every other Friday from the first business day in September following Labor Day through the week preceding Memorial Day. The Receptionist/Administrative Assistant and another assigned admin assistant will alternate remote workdays during this time period accordingly.
- Every other Thursday and Friday from the week of Memorial Day through and including the first Friday in September preceding Labor Day. The Receptionist/Administrative Assistant and another assigned admin assistant will alternate remote workdays during this time period accordingly.
- From the Monday before the Thanksgiving holiday is observed, through and including the Friday of that week. If there are any business meetings during this week, the Receptionist/Administrative Assistant and another assigned admin assistant will alternate remote workdays during this time period accordingly.
- From December 26 through and including January 1. If there are any business meetings during this week, the Receptionist/Administrative Assistant and another assigned admin assistant will alternate remote workdays during this time period accordingly.
Receptionist
Job Responsibilities:
- Greeting and directing visitors, covering phones and handling inbound and outbound mail/deliveries
- Assist with general office service duties including meeting and conference room calendar coordination, meeting room setup, breakdown and meal ordering – when needed
- Responsible for overall office tidiness
- Provide general administrative support i.e. scanning, copying, etc.
- Assist with other ad hoc projects as needed
Administrative Assistant
- Provide general administrative support to the Fund Finance team, including but not limited to planning, coordinating and ensuring schedules are followed
- Handle internal and external calls in a professional, courteous manner with the ability to screen and field calls as appropriate
- Complete a broad variety of administrative tasks including calendar management, internal/external meeting planning, expense report processing, fund invoice processing and project work
- Prioritize conflicting needs, handle matters expeditiously and proactively and follow-through on projects to successful completion
Required Skills And Background
- Recent college graduates with a minimum of 6 months’ work experience, plus solid academic track record and expressed interest in administrative or executive assistant work, will be strongly considered
- Solid computer skills (proficient in PowerPoint, Excel, Word, and Outlook)
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Adaptable to various competing demands while maintaining a high level of client service and response
- Reliable and flexible
- Highly professional with exceptional written and verbal communication skills
- Motivated, self-driven, adaptive, solution, and detail-oriented
- Strategic thinker with initiative who proactively seeks out internal resources and proposes solutions
- Possesses a team-focused attitude with a demonstrated interest and ability to work collaboratively with others, with the ability to also be extremely effective independently
- Prior experience in small office setting a plus
