Receptionist role at Royal Caribbean Group, on site in Miramar, Florida.

Royal Caribbean Group is a vacation-industry leader with global brands including Royal Caribbean International, Celebrity Cruises, and Silversea Cruises. The Facilities team has a full-time Receptionist position reporting to the Facilities Senior Manager.

Responsibilities

  • Work at the front desk and handle front desk duties while supporting internal departments.
  • Greet visitors and assist guests with appointments.
  • Answer written and verbal requests, receive telephone and personal callers, route to appropriate employees, and take messages.
  • Receive and distribute incoming/outgoing mail; open, sort, and route mail; assist with bulk mailings.
  • Compose and send routine acknowledgements or simple form letters in response to inquiries.
  • Set up and maintain simple files; assist in preparing and administering office accounts and records; enter/update/retrieve information in files/databases.
  • Schedule and coordinate meetings and appointments; maintain the office calendar.
  • Coordinate conference room use, ensuring space is clean and organized.
  • Assist with automated equipment and office technology (facsimile, computers, printers, copiers, voice mail, email, telephone systems).
  • Attend trainings, seminars, and workshops as deemed necessary.
  • Screen incoming calls and route to appropriate extensions.
  • Ensure visitors sign in, issue visitor badges, and announce guests on arrival.
  • Manage visitor parking access and direct employees to designated parking areas.
  • Maintain a tidy, welcoming reception area and keep literature organized; report issues to the Facilities Help Desk.
  • Coordinate with the Facilities administrative team to update information in databases (e.g., SharePoint).
  • Report any observed violations of company Rules and Regulations.
  • Be familiar with fire alarm system operations and report incidents to Security and Facilities.
  • Provide support to the Sr. Facilities Manager as needed.

Qualifications And Education

  • General knowledge of organization and basic support or high-volume telephone service.
  • Work within well-defined procedures and instructions.
  • Working knowledge of office practices, procedures, and equipment; ability to use automated equipment and office software; ability to file documents.
