As a receptionist at the Medical Training Institute of New York, you have an established set of duties and responsibilities to ensure the optimal environment for teaching and learning and the ideal functioning of the school as an educational institution.

You are responsible for providing high-level customer service to prospective students and informed and personalized guidance during the admissions process.

Responsibilities

  • Act as the "Director of First Impressions" by being the friendly, calm, courteous greeter of our students, customers, and vendors.
  • Communicate with prospective students and explain the program in detail
  • Assist with the maintenance and organization of applicant/student electronic files
  • Ensure that all information complies with the standards and expectations of accrediting bodies
  • Assist in marketing efforts geared toward targeted programs
  • Assist with clerical and administrative duties
  • Follow-up with application leads
  • Operate a multi-line telephone system to answer incoming calls and direct callers to appropriate personnel by performing the following duties.
  • Keep the front area clean, uncluttered, and in a manner that projects a professional image.
  • Create files, review prospective student documents for accuracy, make copies, and scan documents into the system.
  • Create and runs reports as required.
  • Assist with meeting set-up and calendaring.
  • Answer question about the organization and provides callers with address, directions, and other information.
  • Welcome and monitor on-site visitors, determine the nature of business, and announce visitors to appropriate personnel.
  • Maintain confidentiality of Institute information, specifically student data;
  • Manage and deliver outgoing mail; receives, sort, and route incoming mail; and maintain and route publications.
  • Order, receive, and maintain office supplies.
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Perform other clerical duties as needed, such as filing, photocopying, and collating;
  • Other duties as may be assigned.

Requirements

  • High school diploma, GED, or higher degree title
  • Minimum of one year as a Secretary, Administrative Assistant, or Customer Service Experience.
  • Applicant should possess a good work ethic and desire to contribute to a professional healthcare/education setting.
  • Excellent communication skills and an optimistic attitude are key
  • Strong knowledge of computer systems and Microsoft Office suite.
  • Ability to communicate succinctly and clearly, both verbally and in writing.
  • Outstanding customer service skills, both in-person and through other communications venues.
  • Ability to prioritize, multi-task, perform well under pressure, meet deadlines, and work a flexible schedule.
  • Basic understanding of social media (Facebook, Instagram, etc.)
  • A passionate belief in the value of our Education Programs.
