Join our client, a renowned research institution, as an contract to hire HR Assistant and play a vital role in supporting their Human Resources team. Schedule: Monday – Friday, 40 hrs/wk, onsite
Pay: $25/hr
Responsibilities
- Facilitate comprehensive personnel processing for employees under both Federal and Trust Fund systems, ensuring accuracy in data entry and compliance with all regulations.
- Generate and analyze monthly HR reports, providing valuable insights to division leaders.
- Collaborate closely with HR Specialists and supervisors to assist with recruitment, classification, employee relations, and visa support activities.
- Execute pre-employment security checks and handle documentation submission to the Smithsonian Institution’s Personnel Security and ID Office.
- Conduct employee orientations virtually or in person, verify employment eligibility via E-Verify, and maintain secure I-9 documentation.
- Manage personnel action processing, including the maintenance of electronic official personnel folders and uploading necessary documents.
- Support employees and administrative contacts by resolving payroll and personnel data issues and advising on procedures and regulations.
- Assist in preparing and organizing visa documentation and correspondence.
- Contribute to the administration of employee recognition and awards programs.
- Participate in rotational assignments supporting the Summer Hire and Volunteer programs.
Required Skills
- Demonstrated knowledge of HR policies, procedures, and regulations, with practical experience in personnel processing.
- Strong understanding of Federal and Smithsonian Trust Fund policies and compliance standards.
- Proficiency in office automation tools and software applications.
- Excellent organizational skills to prioritize tasks and meet deadlines effectively.
- Strong communication skills, both written and verbal, with an emphasis on confidentiality and attention to detail.
- Ability to work collaboratively within a team and adapt to a fast-paced environment.
- Sounds judgment and problem-solving capabilities to handle routine inquiries and complex issues.
Preferred Education And Experience
- At least one year of specialized experience directly related to HR or administrative functions, preferably within federal or institutional settings.
- Knowledge of HR systems such as HRMS, NFC, or similar applications is highly desirable.
