The Human Resources Specialist plays a vital role in supporting the smooth operation of the Human Resources department, with a focus on delivering exceptional employee experience from onboarding through the entire employee lifecycle. This position will support various HR functions, including HR business partners, employee & labor relations, learning, and HR operations / benefits. The ideal candidate is a highly organized, detail-oriented individual with strong communication and interpersonal skills, and a passion for creating a positive work environment.
Responsibilities:
- Employee & Labor Relations: Oversee the company’s Work Rules for Absenteeism and Tardiness, advising program leadership on proper use of the time & attendance system, ensuring consistent policy application, and counseling on recommendations and processing as needed.
- Communicate with employees regarding attendance records and maintain documentation for accountability.
- Manage unemployment claims, appeals, and hearings, preparing timely responses and coordinating with managers to provide accurate, consistent documentation.
Onboarding, Orientation & Learning:
- Coordinate the end-to-end onboarding process through ADP HRIS and ensure completion of required documentation.
- Partner with the learning and benefits teams to support new hire orientation sessions, preparing materials and introducing new employees to company culture, policies, and key personnel.
- Support the preparation and delivery of training programs for new hires and existing staff as needed.
- Manage employee ID badges, including issuance, replacements, and troubleshooting system issues.
HR Operations Support:
- Ensure accurate and timely completion of I-9 forms and maintain compliance with all federal and state employment laws.
- Accurately update and maintain employee data in the HRIS, including transfers, promotions, status changes, and salary adjustments.
- Provide support to the HR customer service mailbox, addressing inquiries and resolving employee questions like payroll processing, benefits, recruitment and labor relations.
- Maintain employment verification requests not covered by The Work Number and ensure proper handling of confidential records.
Work Schedule: Full-time 37.5 hours per week, Monday-Friday 9am-5:30pm, Hybrid - 3 days in office
Qualifications:
- Bachelor's degree in human resources, business administration, or a related field (or equivalent combination of education and experience).
- A minimum of one to three years of job experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Knowledge of HR Information Systems (HRIS), with experience using platforms like ADP a strong plus.
- Excellent communication (written and verbal), interpersonal, and customer service skills.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Ability to maintain a high level of confidentiality and handle sensitive information with discretion.
- Basic understanding of employment laws and regulations (e.g., I-9 compliance, protected absences).
