About The Role

The Executive Assistant to the CEO is a pivotal role within Confluence Technologies, serving as the primary support and strategic partner to our newly appointed CEO. This position offers a unique opportunity to influence the executive office’s operations and help shape the company’s leadership rhythm from the ground up. The ideal candidate is highly organized, proactive, and possesses exceptional communication skills, enabling seamless coordination of the CEO’s busy schedule and strategic initiatives. Reporting directly to the CEO, this role demands a high level of professionalism, discretion, and the ability to manage multiple priorities efficiently. While the position is remote, it requires proximity to Boston to facilitate regular in-person collaboration and engagement. The Executive Assistant will be instrumental in managing high-level meetings, preparing key communications, leading logistical arrangements for corporate events, and acting as a trusted liaison with internal teams and external stakeholders. This role is perfect for someone eager to contribute to a fast-paced, innovative environment and to play a critical part in driving organizational success and leadership effectiveness.

Qualifications

  • Bachelor’s degree in Business Administration, Communications, or a related field
  • Proven experience as an Executive Assistant or in a similar supporting role at senior management level
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • Ability to handle confidential information with integrity and discretion
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools
  • Experience coordinating complex schedules and high-level meetings
  • Strong interpersonal skills and the ability to build relationships with internal and external stakeholders
  • Proactive problem-solving skills and adaptability in a dynamic environment
  • Located in or near Boston, with the ability to attend in-person meetings regularly

Responsibilities

  • Manage and prioritize the CEO’s calendar, ensuring alignment with strategic priorities and upcoming commitments
  • Coordinate and prepare for high-level meetings, offsites, and board communications
  • Draft, review, and distribute polished communications, reports, and presentations
  • Organize logistics for company events, executive engagements, and external meetings
  • Act as a liaison between the CEO and internal teams, clients, and external partners
  • Support the CEO in tracking actionable items from meetings and follow-up tasks
  • Assist in streamlining administrative processes to enhance efficiency across the executive office
  • Attend executive meetings when necessary, providing note-taking and follow-up support
  • Build and maintain strong relationships with key stakeholders to facilitate smooth communication
  • Contribute to shaping the operational rhythm of the leadership team and the broader organization
