Job Summary

Responsible for providing comprehensive administrative support to attorneys, with flexibility to assist in various critical areas throughout the firm.

Essential Duties and Responsibilities

  1. Transcribe dictation and format legal correspondence and documents.
  2. Prepare drafts, proofread, and finalize legal documents.
  3. Manage mailing and copying of documents via certified or courier services.
  4. File legal documents with courts and communicate with relevant parties.
  5. Open new files, perform conflict checks, and draft engagement letters.
  6. Maintain and organize case files and documentation.
  7. Enter and verify attorney billable hours, and manage billing processes.
  8. Maintain attorney calendars and schedule depositions and hearings.
  9. Handle attorney correspondence, calls, and scheduling.
  10. Assist in strategic planning and train new staff members.
  11. Perform receptionist duties and support other administrative tasks as needed.

Knowledge, Skills, and Abilities

  • Knowledge of court rules and legal document formatting.
  • Understanding of legal and medical terminology relevant to practice areas.
  • Excellent spelling, grammar, and organizational skills.
  • High integrity in handling confidential matters.
  • Effective communication and interpersonal skills.
  • Typing speed of 70 WPM and proficiency with office technology.
  • Ability to work over 40 hours per week, including physical requirements and potential travel.
