Position Summary
We have an exciting opportunity to join our team as a Medical Secretary (FGP). In this role, the successful candidate performs administrative and clerical tasks to support daily practice operations. This role is responsible for scheduling patient visits and procedures in collaboration with other areas within the Medical Center, handling patient phone calls, and maintaining efficient provider schedules.
Job Responsibilities
- Schedules appointments for visits, treatments, and procedures
- Reviews appointment confirmation responses and manages waitlists
- Communicates with patients about upcoming visits, including instructions, preparation, and forms
- Obtains authorizations for services as needed
- Answers calls and takes messages; routes questions to appropriate contacts clearly and promptly
- Handles faxes and mail; prepares standard letters and forms as needed
- Performs other duties as needed
Administrative Physician and Practice Support
- Demonstrates knowledge of patient experience expectations and Service Standards in performance of duties
- Supports patient access activities (greets patients, collects information, answers questions, directs requests)
- Maintains cooperative and professional relationships with physicians, nurses, and office staff
- Prioritizes assignments to complete work timely under changing workload and deadlines
- Uses appropriate vocabulary and grammar when communicating with patients, physicians, nurses, and staff
- Participates in training staff in registration and office policies
- Reviews in-basket messages and patient emails before routing
- Provides patients with non-clinical instructions for upcoming appointments/procedures
- Promotes the use and sign-up of MyChart
- Follows scanning guidelines for importing outside documents into EPIC
- Reviews waitlists and ensures patients are called and offered appointments
- Reschedules patients when physicians are out or schedules change
- Organizes and distributes mail and faxes
- Maintains knowledge of practice/physician specialty including conditions and treatments
- Manages physician calendars, including calendar invites
- Releases medical records in accordance with HIPAA and ROI procedures; documents disclosures in Epic
- Processes documents via paper and electronic records; scans, uploads, and forwards information in EPIC
- Completes forms accurately and routes areas requiring clinical information to the appropriate provider
- Follows up with physicians on outstanding messages related to patient care
- Answers patient questions or refers questions to RN/provider as needed
- Refers Surgical and Infusion scheduling to Senior Medical Secretary
- Prepares routine documents and reviews work for accuracy
- Manages prescription refill requests with appropriate clinical staff
- Coordinates with pharmacies and patients on prescription questions
- Initiates and follows up on pre-authorizations and appeals
- Responsible for patient, referral, and authorization workqueues
- Obtains and documents referrals in EPIC; collaborates with NYU Langone sites for continuity of care
- Remains current on best practices, policies, and protocols
- Maintains cleanliness of personal and patient spaces
- Communicates scheduling instructions and updates to patients
- Assists with special projects and reports; escalates issues to supervision
- Performs other related duties as needed by providers and supervisor
Patient Experience and Access
- Acts as NYU Langone Health Faculty Group Practice Brand Ambassador
- Promotes excellence in patient experience and adheres to the CARES service principles
- Greets patients professionally and clearly communicates next steps
- Works with colleagues to ensure a positive experience and timely resolutions
- Anticipates patient needs and participates in service recovery
- Suggests improvements to patient experience and access to leadership
- Collaborates with Patient Access Center and Central Billing Office teams
- Ensures staff are versed in Access Agreement principles
Minimum Qualifications
High School diploma required. At least one year of prior physician practice experience and knowledge of medical terminology or equivalent combination of education and experience. Written and oral communication skills, excellent organizational skills, ability to prioritize multiple tasks, attention to detail, proficiency in Microsoft Office and EPIC (preferred). Light, accurate keyboarding skills. Ability to work effectively in a team-oriented environment.
Preferred Qualifications
Intermediate knowledge of computer-based scheduling, appointment programs or EPIC EHR system is strongly preferred.
Qualified candidates must be able to effectively communicate with all levels of the organization.
