**Basic Function:** Under direct supervision of the Director of Operations, performs clerical functions, provides appropriate information and direction in conjunction with operating the switchboard. Courteously greets telephone callers and visitors and facilitates the flow of incoming and outgoing communication. Types and/or organizes reports and correspondence. Provides clerical/administrative support to the ECSS program and other departments as needed.

Reports To: Director of Operations
Supervises: None

**Principal Duties/Responsibilities:**

  • Greets visitors, maintains awareness of visitor and caller needs, provides answers to routine inquiries.
  • Operates switchboard, screens calls, transfers to appropriate persons.
  • Types and proofreads reports, letters, and routine correspondence.
  • Sorts and routes incoming mailings, organizes folders and files.
  • Prepares Excel worksheets, maintains division listings, phone lists, room schedules, sign-in sheets, and travel logs.
  • Processes billing and invoices.
  • Maintains a neat appearance and maintains confidentiality.
  • Builds courteous, professional relationships with colleagues, clients, vendors, and external organizations.
  • Performs other clerical tasks or special projects as assigned.

**Requirements:**

  • High school diploma or GED required.
  • Two years of college or secretarial training, or equivalent experience preferred.
  • Proficient in Microsoft Office, good verbal communication, proper grammar, and typing accuracy (50-55 WPM).
  • Ability to work courteously with diverse personalities, follow safety practices, and work independently.

**Mental/Physical Demands:** Ability to understand and follow instructions, handle problems, read and write simple correspondence, and present information effectively. Regular talking and hearing required; frequent sitting; occasional standing, walking, and lifting up to 25 pounds.

**Environmental Conditions:** Moderate noise level; work performed in office or classroom environment.

**Full-time Role:**

**Compensation:** $43,160 annually
