Responsibilities
- Answer the phone in a timely, polite, and professional manner, preferably in three rings or less.
- Respond to telephone inquiries for information or appointments, and take necessary messages.
- Receive telephone and in-person referrals for therapy services; record necessary demographic information.
- Greet and promptly acknowledge patients’ presence in the waiting room.
- Check in new patients, provide paperwork, photocopy insurance cards, and ensure physician order and insurance authorization are present and valid.
- Explain financial responsibilities to patients and obtain signatures for financial liability waivers if needed.
- Obtain prior approvals and pre-certifications from third-party payors; document approval numbers.
- Schedule initial and ongoing therapy appointments, pre-register patients, and input data into the database.
- Prepare forms and labels for medical charts, assemble charts, and label pages.
- Sort, open, and distribute mail, including correspondence and recertification forms.
- Process medical record requests from insurance companies and attorneys.
- Collect co-payments and prepare deposits for courier pickup.
- Maintain and file medical records and reports appropriately.
- Update knowledge of third-party payor regulations regularly.
- Register patient accounts daily.
- Handle cancellations and no-shows, and notify therapists of schedule changes.
- Reschedule appointments and extend schedules as necessary.
- Verify Out Of Area Provider information and enter into the database.
- Re-register ongoing patients monthly after auto-discharge.
- Discharge patients upon completion of services.
- Edit therapists' schedules for time off, sick leave, etc.
- Reschedule patients when therapists are unavailable and update schedules accordingly.
- Ensure smooth daily patient flow and front office operations.
- Maintain office and break room supplies.
- Assist with purchase order processing.
- Communicate effectively and maintain confidentiality with patients and families.
- Attend departmental meetings as required.
- Perform other related duties as assigned.
Qualifications
- Ability to read, write, and communicate in English.
- High school diploma or GED.
- At least two years of recent experience in a medical or rehab office, clinic, or hospital setting.
- One year of recent experience working with third-party payors, including referrals.
- Successful completion of a basic medical terminology course or passing the CCH Medical Terminology exam.
- Demonstrated keyboarding skills.
Purpose of Position
To register, pre-certify, and schedule patients for rehabilitation services and provide clerical support for the department.
Schedule Details
Temporary position, 40 hours/week, Mon-Fri, 10 am - 6 pm. No holidays or weekends. May become permanent.
