Principals Secretary - Harding Middle School

Responsibilities
- Provide secretarial services to the principal and staff.
- Establish and maintain files for the principal and school office.
- Maintain online student database and Infinite Campus files.
- Interact positively on a daily basis with parents, volunteers, visitors, students and staff.
- Supervise students in the office area.
- Prepare necessary district and state reports.
- Backup assistance for the health clinic.
- Schedule busing for field trips.
- Overview of time clock for new and existing staff; manages and approves.
- Maintain building calendar in Google.
- Maintain building schedule for other groups using the facility.
- Keep deadlines.
- Handle paperwork involved with bookkeeping, payroll, fee collection, purchasing, substitute teachers, data processing, transportation, student records, and Free/Reduced lunch.
- Prepare and act as editor for the school newsletter.
- Order supplies for all staff.
- Other duties as may be assigned or developed.
Classification and Schedule
- Classification: Secretarial/Clerical Group F
- Hours: Eight (8) hours per day, Twelve (12) months

Preparation, Experience, Skills
- Knowledge in the operation of computers—word processing, databases, spreadsheet applications, and e-mail.
- Knowledge of or willingness to learn BSO ordering system and Infinite Campus.
- Good oral and written communication skills.
- Ability to prioritize, organize, and initiate responsibility.
- Successful experience in a responsible secretarial position with experience in working with large numbers of students, parents and staff.
- Ability to work without supervision.
- Cross training in health secretary responsibilities.
- Knowledge of office machines (fax, scanner, copy machine).
- Telephone skills that are polite, tactful, and efficient.
- Demonstrated proficiency in typing and other office skills.
- Ability to work under pressure with frequent interruptions.
- Willingness to assume responsibility.
- Ability to work with staff, students, and the public; represent the school professionally, including confidentiality and dress.
- Willingness to participate in ongoing training.

Working Environment
The work environment is moderately quiet. The position may require extended professional hours beyond a typical 8:00 a.m. to 4:00 p.m. day and activities across different areas of the building, including supervision of students during indoor and outdoor activities.
