Overview

Secretary I, II - Maui District Administration. The authorized level of the position is Secretary II. Applications are being accepted down to the Secretary I in the event of recruiting difficulties.

Salary Range

  • Secretary I, SR-12: $3,621.00 per month
  • Secretary II, SR-14: $3,917.00 per month

Examples of Duties

  • Greets visitors to the office and answers the telephone; refers calls to supervisor and other staff; takes messages; makes appointments for the supervisor; provides direct factual information when appropriate.
  • Receives and opens incoming mail and refers to the supervisor; maintains and organizes files; drafts routine correspondence; ensures accuracy of outgoing correspondence.
  • Establishes and maintains subject matter, alphabetic and/or chronological files; supplies records as needed.
  • Procures supplies, equipment, and services; consults manuals or sources to obtain information.
  • Assigns facilities, vehicles, equipment; relays messages and instructions to subordinates.
  • Allocates financial items to correct accounts; may type, take dictation, or transcribe; takes notes or minutes at meetings.
  • Explains services, methods or policies; reviews the work of others for correctness; approves or recommends action on applications or requests per policy.
  • May supervise clerical subordinates and others in highly complex clerical work.

Minimum Qualifications

Experience Requirements

Except for substitutions provided for in this specification, applicants must have work experience described below and in the amounts shown.

  • General Clerical Experience: Work involving English grammar, spelling, arithmetic; ability to read and understand instructions; and to read and write clearly.
  • Specialized Clerical Experience: Progressively responsible typing, stenographic or clerical work; familiarity with office equipment; ability to perform secretarial tasks; examples include receptionist, filing, travel arrangements, composing correspondence, handling information from files, and review of outgoing documents.

Substitutions Allowed

Any combination of work experience and/or education that demonstrates the required knowledge, skills and abilities may be accepted in lieu of minimum qualifications.

Substitution of Education for Experience

  • High school graduation with courses in English and arithmetic may substitute for six months General Clerical Experience.
  • Full-time equivalent clerical/secretarial curriculum leading to degree or diploma may substitute for one year Specialized Clerical Experience.
  • Partial completion of such curriculum may be substituted month-for-month.
  • Education in a baccalaureate program may substitute up to one year of Specialized Clerical Experience with specific course examples.

Typing Requirement

Must type at a rate of 40 net words per minute.

Quality of Experience

Experience must be of sufficient scope and responsibility to demonstrate ability to perform duties.

Supplemental Information

Salary reflects full-time employment and applicable differentials.

Requirements: Applicants must meet all requirements as of the date of application. Education and experience may not be gained concurrently unless specified. Calculation of experience is based on full-time 40-hour weeks. Part-time experience is pro-rated.

Temporary Assignment

Temporary Assignment (TA) experience may be used to meet minimum qualifications if verified and attached to the application. Acceptable verification includes TA History Report, supervisor’s letter with TA details, or SF-10 forms.

Temporary positions may be extended year to year depending on funding and needs. Temporary employees may be eligible for promotion and transfer opportunities to permanent or other temporary positions.

New employees can expect their first paycheck within the first 3 pay periods. Payday is on the 5th and 20th (or previous business day) of every month.
