Position Overview
The School Secretary serves as an integral member of the school’s operations team. The Secretary will lead office efforts to ensure high-quality customer service and a professional environment for all guests of the school’s main office, including students, parents, external guests, teachers, and other stakeholders.The Secretary will be responsible for performing key administrative duties in support of the school leadership team.

- May be required to travel locally and domestically periodically to attend meetings, trainings, seminars, etc.
Other Information
Reports to: Principal
Status: non-exempt (although the expectation is that this position will work 40 hours per week, this position must clock in and clock out daily to record time)
Salary Range: $15.50 – $18.00 per hour (equivalent to $32,000 – $38,000)
Primary Responsibilities
- COMMUNITY RELATIONS: Ensuring that community relationships thrive, with duties including, but not limited to:
- External Services:
- Coordinate with the network team to update the school website, Twitter and Facebook, and other communications materials
- Manage neighborhood relationships, including churches and volunteer groups
- Parent & Visitor Management:
- Extend a warm welcome to all visitors and serve as a key lever to address questions, and minimize interruptions of the school admin team
- Answer phones, greet guests, and make announcements
- Sort mail as needed
- Manage all school visitors, including identification verification and notification of appropriate staff
- Create a clean, professional, inviting, and organized Front Office
- Coordinate mailings, phone calls, and other messages to families
- Assist teachers and staff members in building authentic relationships with students, families, and stakeholders
- Draft a monthly newsletter for parents
- External Services:
- COMPLIANCE: Ensuring compliance for all local, state, and federal mandates, with duties including, but not limited to:
- Attendance:
- Record daily student attendance in PowerSchool
- Follow up with families of absent or late students each morning
- File Audits & Student Information:
- Collect and maintain student records – includes demographic information, transcripts, immunization history, meal eligibility, and emergency contacts
- Records updates:
- Complete all records requests, including sending, receiving, and requesting student files
- Truancy:
- Maintain accurate records for truancy, including mailing home letters and notifying the appropriate parties when a student has excessive absences
- Attendance:
- EVENTS: Ensuring that all school events are prepared for excellence in execution, with duties including, but not limited to:
- Event Management:
- Alert the Maintenance Manager of all event requests
- Assist the Operations Manager in event planning
- Event Management:
- INTERNAL SUPPORTS: Ensuring that there are internal school supports for programs, with duties including, but not limited to:
- Arrival & Dismissal:
- Assist with student arrival and dismissal processes, including tracking attendance data for late arrivals and early release students
- Procurement:
- Take inventory of main office supplies, event materials, and other necessary items.
- Reporting Process:
- Print and distribute progress reports and report cards
- Student Registration:
- Execute recruitment events as needed
- Manage data entry from student registration
- Student Supports:
- Assist with the Student Support Team in responding to student needs
- Arrival & Dismissal:
Qualifications
Education/Certification
- High School Diploma (Associate’s or Bachelor’s Degree greatly preferred)
Work Experience
- 3+ years of work experience with a strong background in customer service or school secretarial roles
Skills and Mindsets
- Must speak Spanish fluently
- Relentlessly results-driven – will do whatever it takes to help students succeed

- Ability to work urgently in a fast-paced and results-oriented environment
- Strong written communication skills – written and verbal fluency in Spanish greatly preferred!

- Implement the student registration process with fidelity and clarity 95% of the time.
- Ensure that daily attendance is accurate & up-to-date 100% of the time.
- Faithfully execute the reporting period process 100% of the time.
- Ensure that 85% of guests (teachers, parents, etc.) feel welcome in the Front Office.
- Ensure that public communications are clear, accurate, and distributed in a timely manner 90% of the time.
