Overview
Office Administrative Assistant role at City of New York. The Office of Labor Relations (OLR) represents the Mayor in labor relations between the City and labor unions, administers employee programs, and negotiates collective bargaining agreements with the City's bargaining units. This position supports the NYC EAP (Employee Assistance Program) which provides confidential resources to NYC employees and dependents.
Responsibilities
- Reception: Answering calls, handling messages, receiving visiting clients; promote a respectful, caring environment for all clients and collateral guests.
- Clerical Duties: Chart maintenance; copying, faxing, filing, scanning.
- Scheduling: Coordinate staff calendars; schedule client sessions, meetings, trainings, etc.
- Reporting: Maintain a daily screening/consultation log; generate monthly reports on EAP services; manage clerical responsibilities for authorization cases; manage supplies and inventory.
Preferred Qualifications
- Proficient in Microsoft Office Programs.
- Previous office experience with general duties, scheduling, telephone skills, typing, documentation, meeting planning, verbal and written communication, dependability, attention to detail, and administrative writing skills.
Hours / Shift
11am - 7pm Monday through Thursday and 9am – 5pm on Fridays.
Minimum Qualifications
- There are no formal education or experience requirements for this position. However, the ability to understand and carry out simple instructions is required.
- Candidates must be able to understand and be understood in English.
Preferred Skills
Proficient in Microsoft Office Programs; prior office experience in general, scheduling, telephone skills, typing, documentation skills, meeting planning, verbal and written communication, dependability, attention to detail, and administrative writing skills.

Residency: New York City residency is generally required within 90 days of appointment; some city employees may reside in certain counties after two continuous years. Discuss at interview.
